The Role:This position is based within the busy Central Services team, a core part of the firm that supports all departments with essential administrative tasks critical to day-to-day operations. Responsibilities include processing incoming and outgoing mail, managing deliveries, arranging catering, maintaining cleanliness in shared spaces, filing, document storage, reception coverage, and general administrative support. You'll be expected to build and maintain professional relationships across all departments, providing consistently high standards of customer service to both internal and external stakeholders. Key Responsibilities:
- Collect and process DX mail.
- Sort, process, and distribute all incoming and outgoing correspondence.
- Scan incoming documents and print outgoing items.
- Track and record all special mail and courier deliveries.
- Process and log evening mail in the designated records.
- Handle external and internal deliveries, including stationery distribution.
- Coordinate with external suppliers for file storage and retrieval.
- Arrange catering for meetings and events.
- Maintain post areas and meeting rooms.
- Manage confidential waste disposal.
- Support client visits during reception cover.
- Provide photocopying and scanning services as required.
- Respond to administrative queries professionally and efficiently.
- Set and communicate clear timeframes for task completion.
- Manage unidentified post appropriately.
- Occasionally travel between office locations (company van, insurance, and fuel card provided) to deliver or collect legal documents and other materials.
Requirements:
- A valid UK driving license.
- Solid IT skills, including proficiency in Outlook, Word, and legal software.
- Strong time management, organisation, and customer service abilities.
- A proactive, flexible approach and the ability to thrive in a team-oriented environment.
