Job Summary

We are seeking a diligent and organised Document Assistant to support the project teams in maintaining effective communication and document management processes. The successful candidate will play a crucial role in ensuring that documentation flows seamlessly between teams, clients, and stakeholders, contributing to the overall success of the projects.

Key Responsibilities

  • Collaborate closely with project teams to support smooth and efficient communication and documentation flow.
  • Assist in the preparation, formatting, and distribution of reports, operation and maintenance manuals, and other essential project documents.
  • Maintain and update Request for Information (RFI) logs and Technical Submittals, ensuring accurate tracking and timely responses.
  • Ensure that project documentation is appropriately received and distributed to all relevant stakeholders in a timely manner.
  • Manage project documentation to ensure that site teams and other relevant parties have access to current and correct versions of all necessary documents, including but not limited to:

o Drawings

o Project schedules

o Specifications

o Contractual correspondence

o Submittals

o RFIs

o Reports

  • Ensure all documentation is issued and stored in line with the company’s document control procedures and any specific project requirements.
  • Support continuous improvement of document control processes and systems.

Skills & Experience Required

  • Previous experience in a document control or administrative role is desirable.
  • Excellent attention to detail and organisational skills.
  • Strong communication skills and the ability to liaise with multiple project stakeholders.
  • Proficiency in Microsoft Office (Word, Excel, Outlook) and document control systems.
  • Ability to prioritise tasks and manage time effectively in a fast-paced environment.
  • A proactive and collaborative approach to teamwork.
