We are seeking an experienced, flexible, and highly organised Administration Officer/PA to join a highly successful early years organisation. This vital role supports the operational excellence of the organisation by ensuring accurate financial record-keeping, timely invoicing, and effective communication with families and staff. The successful candidate will play a key part in supporting the smooth running of the setting.
This role requires some travel within the Datchet area. A full UK driving licence and flexibility are essential.
Key Responsibilities
Administration
- Manage and reconcile accounts including fees, funding, and petty cash.
- Prepare and issue accurate invoices to families.
- Monitor and follow up on outstanding payments with professionalism and sensitivity.
- Work alongside the Managers to ensure funding claims are accurate and submitted on time.
- Maintain clear, confidential financial records in line with GDPR and regulatory requirements.
Communication and Relationship Management
- Serve as a point of contact for fee and payment queries from families, providing clear and supportive communication.
- Liaise with local authorities and funding bodies regarding childcare funding, where necessary.
- Support the leadership team by preparing financial reports and updates.
General Administrative Support
- Monitor and respond to finance-related email correspondence promptly.
- Assist with administrative duties as required, including supporting compliance and regulatory paperwork.
- Ensure financial procedures reflect best practice within the early years sector.
Flexibility and Team Support
- Travel within the Datchet area to support on-site financial tasks or meetings.
- Build strong working relationships with managers, staff teams, and external partners.
- Adapt to the changing needs of a dynamic early years environment.
Person Specification
Essential
- Experience in financial administration or bookkeeping (experience within early years settings is highly desirable).
- Excellent numerical and organisational skills.
- Strong IT proficiency, including Microsoft Office and nursery management software (or willingness to learn).
- Excellent communication and interpersonal skills.
- Ability to manage multiple priorities and meet deadlines.
- Full UK driving licence and willingness to travel within the Datchet area.
