- Act as the first point of contact for visitors and guests.
- Arrange servicing, certifications, and remedial works for equipment/machinery.
- Manage fleet administration (insurance, tax, servicing, repairs, congestion charge etc).
- Organise business insurances and licences (Fleet, Goods in Transit, Public Liability, etc).
- Order office and operational supplies (with finance approval).
- Handle day to day HR administration, escalating to outsourced HR provider when needed.
- Lead site audits, inspections, investigations, and customer visits (AEO, CAA, ETSF, MOU, ISO).
- Conduct regular compliance checks on customs entries.
- Set up new suppliers/customers following internal processes.
- Support contract negotiation with suppliers/customers.
- Coordinate refresher and new starter training in line with renewal dates.
- Monitor training compliance (including monthly X-ray training).
- Arrange statutory risk assessments and safety testing.
- Log and report incidents/accidents.
- Act as the first point of contact for IT queries, escalating to outsourced IT provider where needed.
- GCSEs (A–C) in Maths and English or equivalent.
- Strong interpersonal and customer service skills.
- High attention to detail with strong organisational ability.
- Able to work both independently and as part of a team.
- Flexible and proactive with the ability to multitask under pressure.
- 2+ years’ experience in a similar administrative role.
- Knowledge of logistics industry standards and accreditations.
