We are seeking a highly organised and detail-oriented Personal Assistant/Secretary to join our team on a part-time basis. The ideal candidate will have experience in secretarial and PA roles, with strong skills in diary management, meeting arrangements, and general administrative support.
Key Responsibilities:
- Arrange meetings, manage diaries, book venues, and catering as required.
- Attend meetings and transcribe notes into minutes.
- Utilise Microsoft Office Suite efficiently.
- Use Microsoft Teams to present information and assist the chair, as well as take notes.
- Assist Directors with expense claims.
- Monitor shared inboxes for projects.
- Set up SharePoint document libraries.
- Create and maintain a photo library, working with Communications and Project Managers to collate photos and images for each project.
- Upload materials to SharePoint and maintain the SharePoint site.
- Create presentations using PowerPoint.
- Handle figures and data with accuracy.
- Maintain attention to detail in all tasks.
- Experience with Agresso is a plus.
- Provide general administrative support to the wider team and assist senior managers as needed.
Required Qualifications:
- Proven experience in a secretarial or PA role.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
- Experience with Microsoft Teams.
- Strong organisational and time management skills.
- Excellent communication skills, both written and verbal.
- Ability to work independently and as part of a team.
- Attention to detail and accuracy in all tasks.
Preferred Qualifications:
- Experience with Agresso.
- Familiarity with SharePoint and document library management.
