Job Description:

We are looking for a motivated and detail-driven Health & Safety Administrator to join our team. This is an excellent opportunity for someone with strong administrative skills and a genuine interest in developing a career in Health & Safety.

Working alongside our Health & Safety Manager, you’ll gain valuable experience supporting safety processes across a range of environments — including field-based engineering teams, office staff, and subcontractors. You’ll play a key role in maintaining compliance, supporting training delivery, and promoting a positive culture of continuous safety improvement.

Key Responsibilities:

Provide day-to-day administrative support to the H&S function across service and maintenance operations

•Maintain accurate H&S documentation, including training records, risk assessments, COSHH sheets, and contractor files

•Coordinate and schedule H&S inductions, toolbox talks, and refresher training for staff and subcontractors

•Track and assist with incident and near-miss reporting, helping to follow up on corrective actions

•Support the preparation of audits, inspections, and compliance reports for operational teams and clients

•Work on multiple client CAFM systems to provide, upload, and maintain required documentation and records

•Liaise with engineers, operations staff, and external contractors to ensure consistent safety practices

•Assist with PPE and safety equipment tracking, ensuring stock levels are maintained

•Keep up to date with relevant health & safety legislation and guidance, and contribute to internal safety communications

•Proactively engage in learning and development, including the opportunity to work towards a recognised qualification (e.g., IOSH, NEBOSH)

Essential Skills & Qualifications:

  • •Highly organised with good attention to detail
  • •Confident communicator — both written and verbal — across all levels of the business
  • •Able to work both independently and as part of a team
  • •Familiar with Microsoft Office (Excel, Word, Outlook)
  • •Comfortable working in a dynamic, field-service environment
  • •Previous administration experience (preferably in service, engineering, or facilities sectors) is desirable
  • •Willingness to complete H&S training and professional development (support provided)

Desired Skills & Qualifications:

  • Exposure to compliance or safety processes within a service or maintenance business
  • •Familiarity with RAMS, permits to work, or contractor management
  • •Basic understanding of health & safety principles or regulations
