We are representing an established Production company based in Stone, in the heart of Staffordshire, who are looking to expand their current team, we are looking for a Production Administration Assistant who will  be responsible for providing administration support to the Production team. The role is office based within a busy Production Admin department.

Principal areas of Responsibility

  • Raising delivery notes

Ensuring accurate delivery notes are raised from information supplied by Production

Ensure correct format of delivery note is used – often customer supplied delivery notes

  • Booking in deliveries with customers

Liaising with customers/delivery points to obtain delivery slots

Supplying accurate pallet information

  • Proof of delivery

Obtaining and sending signed delivery notes to customers in timely manner

Creation of POD reports from information obtained from couriers

  • External carriers

Loading jobs onto the overnight carriers web portal

Loading jobs onto the next day carriers web portal

Booking international deliveries through a web portal

Printing of carrier labels

Liaising with couriers on collection/delivery times

Dealing with any carrier related issues that may arise

Checking and passing carriers invoices

  • Goods in receipting

Checking delivery notes against purchase orders

Receipting deliveries onto the MIS system

Notifying the relevant people of any shortages

  • Incoming delivery reports

Distribution of incoming materials report – daily

  • Purchase orders

Dating and sending pre-prepared purchase orders to suppliers
Label/packing schedule production

Creation of packing schedules – based on supplied information

Creation and printing of any bespoke labels that are required

  • Production Samples

Ensure production samples are packed and delivered – in conjunction with the Hand Assembly dept

Qualifications / Experience

The ideal candidate will:

Have some experience with communicating with suppliers

Have some experience of communicating directly with customers

Be capable of careful analysis and logical decision making

Have good IT skills

Will be used to working in a busy production environment

It would be some experience of planning / scheduling
