IFA Administrator – Join a Leading Financial Services Team in South Aberdeenshire Area

Our client, a highly respected financial advisory firm, is seeking a proactive and detail-oriented IFA Administrator to join their team. You’ll play a key role in supporting Financial Planners and ensuring clients receive exceptional service throughout their financial journey.

Key Responsibilities:

  • Work closely with Financial Planners to deliver a seamless and professional client experience
  • Prepare documentation for new and review meetings in a timely and accurate manner
  • Obtain information on existing client products using Letters of Authority, generate illustrations, and process new business applications
  • Track all business transactions and keep clients and Planners updated throughout
  • Manage client transactions such as withdrawals, top-ups, and fund switches
  • Handle proposition changes, portfolio rebalances, and other administrative tasks
  • Identify clients due for review and follow established workflows
  • Maintain accurate and up-to-date client records across multiple systems
  • Use the IO task and workflow management system to ensure smooth operations
  • Support compliance and operations by maintaining accurate data and adhering to internal processes

What We’re Looking For:

  • Previous experience in a pensions or financial services administration role
  • High attention to detail and accuracy
  • Strong IT skills, including proficiency in Microsoft Excel
  • Experience with IO (Intelligent Office) is a plus
  • Ability to manage deadlines and work under pressure
  • Excellent written and verbal communication skills
  • A solid understanding of the financial services industry and FCA regulations
