?? CONTRACTS COORDINATOR - PART TIME, 12 month maternity contract with possible extension

?? LOCATION: Sunbury Area | Office-based

?? SALARY: £18,000 + £1,500 annual bonus?? HOURS: 20 hours/week | 10am-3pm, Monday-Thursday

Our client is looking for a proactive and detail-driven Contracts Coordinator to take ownership of the contract lifecycle within a fast-paced, friendly company.

?? Your Responsibilities:

?? Contracts Management

  • Draft and distribute new and renewal contracts for gym, pool, and spa maintenance and inductions
  • Ensure contracts are sent and signed on time and before expiry
  • Confirm receipt of purchase orders or signed contracts to trigger invoicing
  • Invoice all contracts and track documentation to completion
  • Maintain accurate contact records to ensure contracts are received by the right person
  • Notify internal teams once contracts are signed so they can schedule services accordingly
  • Collaborate with managers on new installs to determine if/when a contract is required
  • Suggest and implement efficiency improvements to streamline contract processes
  • Keep all documents properly filed and updated

?? Reporting

  • Report monthly contract invoice figures vs targets
  • Break down data by new contracts, renewals, and design projects
  • Flag unrenewed contracts to management and assist with customer feedback
  • Support financial forecasting with accurate contract data

?? Scheduling

  • Coordinate with the Maintenance Coordinator Manager for scheduling
  • Book maintenance visits directly with client sites when required

?? General Support

  • Answer calls and direct inquiries as needed
  • Respond to management’s ad-hoc tasks and requests across departments
  • Order trainers for engineers via the ASICS B2B portal
  • Take responsibility for your own development and training
