Role Purpose
The Corporate Support Officer plays a vital role in supporting the smooth and compliant operation of Swim Wales, providing integrated support across human resources, corporate governance, and general administration. This role ensures the organisation meets its statutory obligations, maintains strong governance frameworks, and fosters a positive and inclusive workplace culture. The role also supports the Board and leadership team in delivering strategic objectives.
Key Responsibilities
Human Resources
- Manage day-to-day HR admin functions, including recruitment, onboarding, induction, and offboarding.
- Maintain accurate and confidential HR records and reporting.
- Manage the relationship with the external HR consultant.
- Administer and optimise use of Sage HR software, ensuring continuous
Corporate Governance
- Support compliance with relevant governance frameworks.
- Ensure policies and procedures are in place, current, and effectively communicated.
- Track policy review cycles and liaise with relevant departments for updates.
- Assist in preparing documentation for external audits and governance reviews.
- Support the Company Secretary in ensuring regulatory compliance.
- Lead tracking and reporting of progress against the Governance Improvement Plan.
- Coordinate responses to GDPR queries and data subject access requests.
- Monitor updates from Companies House and ensure internal records are aligned.
- Maintain data protection records in line with legal requirements.
- Support Board compliance with Articles of Association.
- Work with the Executive Support Officer to ensure efficient coordination of Board, committee, and other governance meetings.
General Administration
- Provide administrative support across the organisation as required.
- Offer flexible cover and support to other departments.
- This may include answering phones, handling customer queries, order fulfilment, volunteer expense processing, and attending occasional events outside normal hours.
General Responsibilities
- Promote Swim Wales and its activities, both within and outside the work environment.
- Uphold and deliver Swim Wales’ customer care standards in all interactions.
- Maintain awareness of, and comply with, all Swim Wales policies as outlined in the Staff Handbook.
- Keep personal development records up to date and ensure that interim reviews and annual appraisals are completed and logged in line with company policy and timelines.
