Service Administrator

Swindon

Full Time - Permanent

Monday to Friday - 8.00am to 5.30pm with an hour unpaid lunch

Salary is dependent on experience

We are currently recruiting for a Service Administrator to join our client in their Swindon depot.

  • You must have proven experience in a similar positions.
  • Strong attention to detail with the ability to work affectively under pressure.
  • You need to be pro-active, take pride in what you do, have excellent communication skills and a willingness to learn and be engaged with training and an interest in pursuing a career within the industry.

This is a busy and challenging role and covers a wide range of duties to include, whilst the list is extensive, it is not exhaustive:

  • Creating daily, weekly and monthly invoices
  • Invoice queries are dealt with efficiently and in a timely manner
  • MOT and Service sheets for customers and following their order number system in line with their requirements
  • FM & Warranty systems and processes, including scanning jobs to FM depot at head office and dealing with any queries they need further information on
  • Using DMS and R2C computer systems
  • Raising Job Packs
  • Updating weekly spreadsheet for customer requirements
  • Updating customer costings on portals
  • Monitor stock parts, stock checks and ensuring parts are on jobs being costed
  • Texting jobs to invoice standard
  • Checking hours spent by technicians are correct and on the system / jobs.
  • Creating jobs for sub-let invoices
  • Filing/Archiving
  • General Office duties
  • Other duties at management discretion
