Facilities Co-ordinator

Location: Parkfield Dr, Taunton, TA1 5DA

Working Hours: 40 per week (Start Time 8am) Mon - Fri

Pay Rate: £16.80 per hour

Responsibilities

  • Manage the CAFM system (Maximo), ensuring all planned and reactive works align with contractual requirements, following up remedial works to completion ensuring SLA completion deadlines are met.
  • Oversee and Co – ordinate subcontractor activities, including scheduling, induction and monitoring of works.
  • Advising on remedial works that maybe required obtaining quotes for client approval.
  • Assist with monthly client performance reporting, running CAFM helpdesk reports, and compliance documentation.
  • Upload and manage compliance documents for reactive and PPM tasks on Maximo and SharePoint and ensure compliance as per Vinci Facilities procedures.
  • Works with the Facilities Managers to develop management resource plans to meet operational needs and effects change where required.
  • Actively manage the Suppliers to deliver best value into the Account.
  • Support the Account Manager and Commercial teams in managing the finances of the Account.
  • Ensure correct commercial procedures are followed to ensure the Clients budgets requirements are adhered to and the Account is not exposed to financial risk.
  • Early identification of business risks in projects and ensuring that risk management, risk registers and contingency are in place to manage and minimise risk.
  • Support internal and external audits in collaboration with the Project Manager.
  • Support with Appointed Person duties.

Essential Qualifications/Skills

  • Understanding of facilities management and service delivery
  • Experience managing subcontractors
  • Excellent communication and client-partnering skills
  • Familiarity with CAFM systems (Maximo preferred)
  • Proven IT proficiency (Outlook, Microsoft Office and data management)

Desired but not essential

  • SSSTS/SMSTS Training
  • IOSH
  • Technical understanding of Water/Mechanical/Ventilation systems to in order to fulfil Appointed person role.
