Our client in the Uxbridge area is seeking a highly organised and proactive Executive Assistant to provide comprehensive administrative and operational support to their senior executive team. This role is crucial in facilitating the smooth execution of administrative tasks and supporting cross-functional projects. The ideal candidate will have a solid background in executive-level support and a commitment to professional development.
Day-to-Day of the Role:
- Manage diary, travel bookings, and administrative tasks for the Group CEO, CFO, and COO, as well as support associated charities.
- Act as a diary gatekeeper for the CFO and COO, handling correspondence and meeting requests efficiently.
- Prepare, collate, and format reports and presentations as required.
- Maintain and support meeting registers, schedules, agendas, minutes, and action logs for the General Management Team and Charity Board.
- Provide secretariat duties for the Charity, including minute-taking and meeting coordination.
- Manage general administration tasks including email distribution and handling grant paperwork.
- Support financial processes such as invoice tracking and expense reconciliation.
- Provide project support for cross-functional initiatives and cover for other administrative roles as needed.
Required Skills & Qualifications:
- Solid experience providing executive-level administrative support in a fast-paced environment.
- Proficiency in diary management, travel arrangements, and meeting logistics for senior leaders.
- Experience with board or committee secretariat work, including agenda preparation and minute-taking.
- Familiarity with financial processes like expense reconciliation and invoice tracking.
- Skilled in Microsoft SharePoint and MS Office Suite.
- Excellent organisational, time management, and communication skills.
- Ability to work independently and as part of a team, demonstrating initiative and flexibility.
- Training in executive assistance, secretarial skills, or administration is desirable.
