We are now looking for a dedicated Solutions Administrator to support our growing Solutions Department.
Role Overview:
As the Solutions Administrator, you will play a key role in supporting the Solutions Department by overseeing all administrative tasks across multiple projects. Accuracy, attention to detail, and strong organizational skills are essential for managing documentation, supporting engineers, tracking resources, and ensuring project compliance and efficiency.
Prepare engineer and apprentice timesheets for payroll (gathering data from emails).
Compile and maintain a weekly tracker for hours worked, speeding, and personal mileage.
Organize venues and schedule regular meetings (e.g., Monthly Project Meetings), recording minutes and decisions.
Communicate with engineers to retrieve missing timesheet data.
Assist in planning projects from initiation to completion.
Create, update, and manage project workflows.
Order and coordinate delivery/returns of materials and equipment.
Retrieve and verify information from clients, suppliers, and sub-contractors.
Act as a central point of contact for all project stakeholders.
Support procurement processes and liaise with supply chain teams.
Prepare documentation and materials for meetings with the Director/Manager.
Administer day-to-day project activities and documentation.
Source competitive plant equipment and manage associated procurement.
Answer phone calls, take messages, and provide support to the Projects Director and Manager.
Book transport and logistics for site visits.
Maintain stock levels for project containers and storage.
Assist the Solutions Director in compiling quotations.
Monitor and report on hours, budgets, and project expenditures.
Issue legal paperwork including RAMS, Lifting Plans, and Job Numbers.
Manage comprehensive project documentation and Operations & Maintenance Manuals.
Raise sales invoices using CLIK and send to clients for payment.
Complete holiday/absence forms for engineers and management.
Process purchase invoices using CLIK.
Provide overflow support to reception during absences.
Maintain a professional and tidy working environment.

Populate and maintain project costing sheets to monitor high-value project expenses.
Strong background in administrative roles, preferably in engineering, construction, or project-based environments.
High attention to detail and excellent time management skills.
Confident communicator with experience liaising across departments and with external stakeholders.
Proficiency in Microsoft Office and familiarity with project administration tools (e.g., CLIK).
Proactive and self-motivated, able to manage competing priorities.
