Senior Administrator

We are working with an innovative, extremely well-known, European leading organisation on the lookout for a Senior Administrator to join their team at their head offices in Warwick.

The role will involve working with a variety of teams across the business and will require an active willingness to help people where possible, working to budgets, processes and company guidelines and ensuring confidentiality is maintained at all times.

The Senior Administrator will provide support to the Managing Director and the Executive Board of Directors in managing diaries, collating reports for board meetings and other ad-hoc organisational tasks.

This role requires a degree of technical capability as it will be working closely with the IT Support Engineer on the IT distribution of equipment (laptops, desktops, iPhones and iPads) and will deal with first level IT concerns for both internal and external staff.

This position will be the main point of contact for managing and coordinating business travel; including, accommodation, transport and meeting room bookings locally. Some event management may also be required.

Key Responsibilities:

Support the Managing Director and Executive team

  • Manage diaries; organise internal and external meetings
  • Organise and manage Executive travel bookings, including flights, transportation, and accommodation
  • Co-ordinate monthly Exec meetings, including monthly reporting packs and agendas
  • Provide other administrative duties for the Managing Director?and Executive team as and when required

IT

  • Work closely with the IT Support Engineer, managing IT (laptops, desktops, iPhones and iPads) distribution across the business and first level IT concerns for both internal and external employees

Travel

  • Become a 'super user’ of third-party travel management software Gray Dawes
  • Be the key contact and support in the management of the third-party provider, producing monthly reporting for travel spend and KPI’s
  • Be the key point of contact for travel arrangements for all UK staff and customers attending meetings, including; taxis, flights, hotels, trains and ferries (including itineraries for larger meetings)
  • Book meeting rooms at head offices, source alternative meeting locations where required and negotiate competitive rates without compromising on quality
  • Work?closely?with?the?Marketing team?to help?deliver?major events and conferences?(Travel and?Accommodation)?internally and externally.

Other

  • Be a team player with a willingness to help
  • Perform reception duties on an ad-hoc basis in the absence of team members; answer phones, general queries, post, greet and assist visitors
  • Manage spend and invoices in relation to the role
  • Complete any other administrative tasks that are required within the role

Key Skills, Experience & Knowledge:

  • Strong business administration experience working with senior leaders/ Directors
  • Managing complex diary management
  • IT Savvy - knowledgeable, IT literate, hands on with support
  • Experience of managing Travel/ third party travel for a similar size company.
  • 5 x GCSE or equivalent (including Maths and English) at grade C or above
  • Intermediate to advanced Microsoft Office suite; including: Outlook, PowerPoint, Excel, Word
  • Knowledge of Apple products (phones and iPads)
  • Excellent verbal and written communication skills
  • Strong numeracy skills with the ability to analyse data and find areas for improvement
  • Accuracy and attention to detail
  • Must be well organised, able to plan own work and self-starter
  • Must be able to meet deadlines in a fast-paced quickly changing environment
  • A proactive approach to problem-solving with strong decision-making skills
