Ancillary Services Manager - Office Based, Wigan

Established in 2001, our client works with both private clients and the public sector to locate missing Next of Kin and beneficiaries to an estate. They are now one of the country’s largest genealogists/heir hunter firms in the UK and they pride themselves on their professional, diligent, and client-focused approach.

To support their continued growth, they are looking to recruit an Ancillary Services Manager

Role Overview:

The Ancillary Services Manager will have full autonomy of the UK Asset Search processes as well as provide support for the International Asset Department. The Ancillary Services Manager will provide a full service to clients ensuring all searches required have been thoroughly completed and the results are reported back clearly and in the prescribed format. The Ancillary Services Manager will liaise between external providers and clients, maintain records and progress all requests promptly.

In addition, the Ancillary Services Manager will provide all-round admin support to the Private Client Department as well as support the preparation & distribution of marketing materials for the Project Team. The Ancillary Services Manager must have a keen eye for detail and be able to recall & retain information.

Key Responsibilities:

  • Responding to emails (& responding to calls) regarding any & all company ancillary service enquiries, including but not limited to will searches, UK asset searches, bonds of caution and answering all related correspondence within a timely manner.
  • Ordering searches through external providers, including but not limited to, Estate Search, Certainty and for will searches, the National Will Register and for bankruptcy searches the Criminal Records Bureau.
  • Liaising between external providers & clients to update them during the progress of any searches/documents ordered.
  • Reporting search results to clients - accurately write reports in the prescribed format.
  • Requesting & providing clients with invoices, and chasing payment, when required.
  • Work with colleagues in the international team to learn their services including processes, timescales & costs to provide holiday/absence cover or additional support as & when required.
  • Work to deadlines, prioritising workload accordingly.
  • Provide support to marketing projects: coordinating & organising the preparation & distribution of marketing materials with the PC Dept. Admin Support Team.
  • All general administration duties to support the Private Client department.

Desirable:

  • Strong attention to detail, with excellent communication & organisational skills.
  • Strong IT skills, including typing with accuracy.
  • Excellent written and verbal skills - including neat/clear handwriting.
  • You must be able to retain and recall vast amounts of information.
  • Ideally, you would have a full driving licence with access to a vehicle or be learning to drive
  • Degree educated and/or good grades achieved at GCSE/A Level

Terms:

  • Hours: Full-time with option to work 36 hours over a 4 or 5-day week
  • Location: Office-based in Wigan
  • Salary: £28,000-£32,000 DOE
  • Pension and Healthcare after a qualifying period
  • 25 Days Holiday plus statutory.
  • Participation in annual company discretionary bonus scheme
