We are seeking a proactive and organised Administrative Assistant to provide high-level support to our clients team, specifically assisting Vice President level positions. This is an excellent opportunity for a flexible individual who thrives in a collaborative environment.

Location: Wimborne

Contract Type: 6 months (with possible move to permanent)

Pay Rate: Up to 16.40 per hour

Hours: Full Time (39 hours per week)

Work Schedule

  • Monday to Thursday: 07:50 - 16:50
  • Friday: 07:50 - 13:00

Key Responsibilities You will assist with the coordination of team activities and ongoing office administration tasks, including:

  • Communication: Answering telephones, taking messages, and answering routine questions.
  • Scheduling: Maintaining master schedules regarding staff whereabouts and vacation schedules.
  • Travel & Finance: Facilitating domestic and international travel arrangements and assisting with expense processing and charge card reconciliation.
  • Documentation: Typing and distributing memos, meeting minutes, and presentations.
  • Policy Management: Maintaining and updating master copies of organisational policy and procedure manuals.
  • Office Admin: Ordering and distributing office supplies and coordinating meeting room arrangements.

Requirements & Skills

  • Education: A degree or equivalent experience is desired.
  • Tech Proficiency: Working knowledge of Microsoft Office features (Word, Excel, PowerPoint) is essential.
  • Attention to Detail: Ability to complete tasks with high levels of precision and utilise tools for checking outputs.
  • Communication: Strong ability to make oral presentations, write reports, and deliver helpful feedback.
  • Multi-tasking: Proven ability to manage multiple priorities and perform concurrent activities without reducing productivity.
  • Adaptability: Willingness to adjust to new assignments and listen to diverse opinions.
