Personal Assistant to the Managing Director

Join our clients team as a Personal Assistant to the Managing Director within the Finance and Admin Department. This role is essential for enhancing operational efficiency and managing diverse projects ranging from routine administrative tasks to complex strategic initiatives.

Day-to-Day of the Role:
  • Manage the Managing Director’s diary, ensuring efficient scheduling of meetings and appointments.
  • Prepare and manage monthly briefings, board meeting paperwork, and take minutes during meetings.
  • Handle payroll system management and employee benefits coordination.
  • Assist with the completion of various project tasks ranging from IT security implementations to creating automated company presentations.
  • Coordinate with third-party partners like legal, financial, and IT support to ensure seamless integration and support.
  • Maintain confidentiality of company and personal information at all times.
  • Set up PCs, phones, and manage IT issues through third-party subcontractors.
  • Run multiple projects as required, which could involve research, analysis, and implementation of new systems or processes.
Required Skills & Qualifications:
  • Proven experience as a Personal Assistant or similar role, preferably within a finance or admin department, supporting at CEO or Director level.
  • Excellent organisational and time management skills.
  • Strong ability to multitask and manage various project elements simultaneously.
  • High level of proficiency in Microsoft Office, especially PowerPoint for creating presentations.
  • Exceptional communication and interpersonal skills to interact with staff at all levels.
  • Attention to detail and problem-solving skills.
  • Experience in handling confidential information with discretion.
  • Strong numerical skills 
  • Experience within HR, payroll and IT support would be beneficial.
