We are looking for a highly organised administrator who works well as part of a team and always makes sure that they do the right thing for their colleagues and also the business, looking to work either full time or part time over 5 days.
What the Administrator job involves
- Creating quotes on Xero and sending to potential clients
- Tracking the progress of quotes and jobs using Excel daily, updating with project details.
- Chasing potential customer quotes to book in the new projects
- Chasing outstanding invoice payments that are due
- Coordinating training sessions for delegates, from taking the enquiry to completing a booking form, and organising for the director to attend
- Compiling training packs for all delegates
- Managing all office supplies and facilities of the building
- Reviewing contractor timesheets on projects for any discrepancies
- Completing PQQs for any larger contract tenders
Skills required
- Fully computer literate with MS Office inc PowerPoint, Excel, Outlook and SharePoint.
- Experience of using Xero / QuickBooks or Sage would be beneficial, however, not essential. If you have used other CRM's or other online software packages that would be helpful.
- Able to learn and pick up new software and processes quickly
- A strong attention to detail and able to work on your own initiative
- Able to support a team with any requirements to make sure they can do their job to the best of their ability
- Good organisational skills with the ability to prioritise a busy workload.
- Experience of working with construction / manufacturing / engineering or similar industry or a small business

- This could be worked either full time (37.5 hours per week) or part time over 5 shorter days.
