Description

The Program Coordinator supports the day-to-day administration and coordination of training programs within a Federal Aviation Administration Part 147-approved Aviation Maintenance Technician School (AMTS). This role ensures students progress through the program in alignment with curriculum requirements, regulatory standards, and institutional expectations.


The Program Coordinator serves as a central point of contact between students, instructors, operations, and student services—helping drive student success, maintain compliance, and ensure a well-organized and efficient training environment.


Essential Duties & Responsibilities

Program Coordination & Student Progression

  • Track student progression through the A&P curriculum (General, Airframe, Powerplant)
  • Monitor attendance, academic performance, and completion of required competencies
  • Ensure students are meeting program milestones and graduation requirements
  • Identify at-risk students and coordinate support plans with instructors and leadership

Scheduling & Academic Support

  • Coordinate class schedules, instructor assignments, and lab/shop availability
  • Support efficient classroom and lab utilization across cohorts
  • Assist in managing capacity, start dates, and program pacing
  • Support continuous improvement initiatives related to curriculum delivery and student outcomes

Compliance & Documentation

  • Maintain accurate student training records in accordance with Part 147 requirement
  • Ensure documentation aligns with FAA standards, including hours tracking and competency completion
  • Prepare and support audits, including FAA inspections and internal compliance reviews
  • Assist with maintaining Training Course Outlines (TCOs) and supporting documentation

Student Experience & Communication

  • Serve as a primary point of contact for students regarding schedules, program expectations, and progression
  • Provide clear guidance on program requirements, testing timelines, and next steps
  • Partner with Student Services and Admissions to support onboarding and retention efforts

Testing & Certification Coordination

  • Assist in coordinating student readiness for FAA written, oral, and practical exams
  • Track eligibility for testing and ensure required documentation is complete
  • Support communication with Designated Mechanic Examiners (DMEs), if applicable

Cross-Functional Collaboration

Work closely with:

  • Instructors and Lead Instructors (daily program delivery)
  • Admissions (enrollment and cohort planning)
  • Student Services (retention and support)
  • Leadership (program performance and reporting)

Requirements

  • 2+ years of experience in program coordination, education, operations, or administrative roles
  • Strong organizational and time management skills
  • High attention to detail, especially in recordkeeping and compliance
  • Excellent communication and interpersonal skills
  • Proficiency with spreadsheets, student information systems, and scheduling tools

Preferred

  • Experience in an aviation maintenance environment or technical training school
  • Familiarity with FAA Part 147 regulations and AMTS operations
  • Experience working with A&P students, instructors, or maintenance teams
