Job Summary
The Sales Support Specialist provides centralized administrative, systems, compliance, and enablement support to Knight Commercial's sales organization.
Reporting directly to the Chief Revenue Officer, this role works across all commercial verticals to ensure Account Executives and sales leaders have the administrative infrastructure, documentation, systems, information, and resources necessary to effectively develop customer relationships and drive profitable growth.
A critical responsibility of this position is coordinating and maintaining the business documentation, registrations, licenses, vendor requirements, and related administrative information necessary for Knight Commercial to pursue and conduct business across various states, counties, municipalities, and customer organizations throughout the United States.
The Sales Support Specialist will also support onboarding and training for new members of the sales organization, maintain the integrity and accuracy of commercial systems and data, and provide reporting and pipeline support that enables leadership to effectively forecast future business needs.
This position serves as a connector across the commercial organization—creating consistency, reducing administrative burden on Account Executives, and ensuring the CRO and commercial leaders have reliable information to make business decisions.
Key Responsibilities
Sales Administration & Account Executive Support
- Provide centralized administrative support to Regional and National Account Executives and commercial leadership.
- Coordinate documentation and administrative requirements associated with new customers, opportunities, projects, and markets.
- Support Account Executives with customer onboarding documentation, vendor applications, qualification packages, certificates, forms, and other required materials.
- Maintain organized and accessible commercial records and documentation.
- Coordinate administrative follow-up associated with customer requests and business development activities.
- Help Account Executives navigate internal processes and connect with the appropriate corporate or operational resources.
- Identify opportunities to simplify and standardize administrative processes across the sales organization.
- Reduce administrative burden on Account Executives so they can remain focused on customers, relationships, and revenue generation.
Business Documentation & Market Readiness
- Coordinate and track documentation required for Knight Commercial to conduct business across various states, counties, municipalities, and customer organizations throughout the United States.
- Maintain visibility into business registrations, licenses, certificates, vendor qualifications, and other required commercial documentation.
- Partner with Finance, Legal, Operations, Human Resources, and other appropriate functions to obtain and maintain required documentation.
- Track expiration and renewal dates and proactively coordinate updates before documentation lapses.
- Support Account Executives entering new markets by identifying required administrative and documentation needs.
- Maintain a centralized repository and tracking process for relevant commercial documentation.
- Escalate missing, expired, or incomplete documentation that could prevent or delay Knight from pursuing or performing work.
- Help ensure Knight is administratively prepared to respond quickly when opportunities arise in new markets.
CRM & Systems Accuracy
- Support consistent and accurate utilization of Knight's CRM and other commercial systems.
- Maintain high standards for customer, opportunity, pipeline, contact, and project-related data.
- Monitor data quality and identify incomplete, outdated, duplicate, or inaccurate information.
- Partner with Account Executives and Regional Account Directors to resolve data gaps.
- Establish consistent expectations for how commercial information is entered and maintained.
- Support system enhancements, process improvements, and adoption of new commercial tools.
- Create reports and dashboards that provide leadership with actionable commercial information.
- Serve as a knowledgeable resource for Account Executives regarding commercial systems and processes.
Pipeline, Reporting & Forecasting Support
- Support the CRO and commercial leadership with pipeline reporting, forecasting, and business planning.
- Compile and validate pipeline information across Regional and National Account teams.
- Track opportunity progression and ensure key information is current and complete.
- Identify inconsistencies or gaps that could impact forecast accuracy.
- Prepare recurring sales reports, dashboards, and leadership materials.
- Track key commercial metrics, trends, and performance indicators.
- Support Regional Account Directors in maintaining visibility into their respective regional portfolios.
- Help translate commercial system data into information that can support workforce, operational, and business planning.
- Partner with Operations and other functions as appropriate to provide visibility into anticipated project demand.
Sales Onboarding
- Coordinate the commercial onboarding experience for new Account Executives and sales team members.
- Develop and maintain standardized onboarding materials, checklists, tools, and resources.
- Ensure new hires receive appropriate access to commercial systems, customer information, processes, templates, and tools.
- Coordinate onboarding activities across Commercial, Operations, Marketing, Finance, Human Resources, and other functions.
- Help new Account Executives understand Knight's organizational structure, service capabilities, customer processes, and commercial expectations.
- Track onboarding completion and identify gaps requiring additional support.
- Continuously improve the onboarding experience based on feedback and evolving business needs.
Training & Commercial Enablement
- Coordinate ongoing training and enablement activities for the sales organization.
- Maintain a centralized library of sales tools, templates, presentations, customer materials, processes, and training resources.
- Partner with commercial leaders and subject matter experts to develop training on systems, processes, services, and commercial expectations.
- Coordinate training calendars, sessions, materials, and attendance.
- Support Account Executives with tools and information needed to effectively represent Knight's capabilities.
- Identify recurring questions or process challenges that could be addressed through additional training or documentation.
- Help establish greater consistency in how the commercial organization operates across regions and verticals.
Cross-Functional Coordination
- Serve as a central administrative connector between Commercial and key support functions.
- Partner with Regional Account Directors and National Account Executives to understand changing business needs.
- Work with Operations to support visibility into anticipated customer and project demand.
- Partner with Marketing & Communications to maintain current sales collateral and customer-facing materials.
- Coordinate with Finance on customer/vendor documentation and other commercial administrative requirements.
- Partner with Human Resources on commercial onboarding and training activities.
- Escalate systemic administrative or process barriers to the CRO with recommended solutions.
Process Improvement & Commercial Scalability
- Identify manual, inconsistent, or inefficient processes within the commercial organization.
- Recommend solutions that improve speed, accuracy, consistency, and accountability.
- Develop standardized processes, templates, trackers, and documentation.
- Help build scalable commercial infrastructure capable of supporting Knight's continued growth.
- Maintain clear documentation of key commercial processes and responsibilities.
- Promote consistent ways of working across Regional and National Account teams.

Qualifications
- 3–5+ years of experience in sales operations, sales support, commercial administration, business operations, project coordination, or a related role.
- Experience supporting a geographically dispersed sales or business development organization preferred.
- Strong organizational skills with exceptional attention to detail.
- Experience working with CRM platforms and maintaining business data.
- Strong proficiency with Microsoft Office, particularly Excel, PowerPoint, Word, and Outlook.
- Experience coordinating licenses, registrations, vendor documentation, compliance records, or similar business documentation preferred.
- Ability to manage multiple deadlines, priorities, and stakeholders simultaneously.
- Strong analytical skills and comfort working with sales, pipeline, and forecasting data.
- Excellent written and verbal communication skills.
