JOB DESCRIPTION
The primary purpose of the Client Services Coordinator role is to support the delivery and processing of tax returns, manage workflow, coordinate client communication, and provide administrative support to ensure exceptional client service.


ESSENTIAL DUTIES AND RESPONSIBILITIES
  • Provides tax return processing support to the Tax Department, including but not limited to:
    • Process and finalize the delivery of various tax returns and related documents as requested.
    • Prepare and coordinate transmittal letters, filing instructions, engagement documentation, and client correspondence.
    • Review tax return packages for accuracy, completeness, organization, formatting consistency, and compliance with firm procedures.
    • Responsible for processing tax engagement letters, annual tax organizers, 1099’s, and payroll reports.
    • Maintain accurate and organized electronic client files by scanning, organizing, and bookmarking documents in accordance with firm document management standards.
    • Apply and manage electronic signature requests and verify completeness of required documentation prior to release.
    • Monitor and update workflow systems, including routing, status tracking, reporting, and turnaround monitoring.
    • Assist with extension processing, tax payments, e-file documentation, and filing deadline coordination.
    • Coordinate with tax professionals and administrative team members to ensure timely and accurate delivery of client work product.
    • Maintain confidentiality and professionalism while handling sensitive financial and client information.
  • Provides administrative and firm operations support, including but not limited to:
    • Provide administrative support to tax and operational teams, including data entry, file maintenance, and document organization.
    • Assist with special projects, process improvement initiatives, and seasonal workflow demands.
    • Support digital and physical document management, including archiving and records organization.
    • Communicate proactively regarding workflow priorities, processing updates, and outstanding items.
    • Prepare and distribute electronic and physical client packages using various delivery platforms and shipping methods.
    • Assist with answering phones and greeting clients and visitors.
    • Troubleshoot basic office technology, scanning, PDF, and document workflow issues.
    • Operate firm software and technology platforms to support day-to-day operations.

OTHER SKILLS AND ABILITIES
  • Ability to effectively use Microsoft Office software including Word, Excel, and Outlook.
  • Demonstrated ability or willingness to learn and apply AI tools, including Microsoft Copilot and similar platforms, to streamline administrative workflows, enhance productivity, and drive operational efficiency.
  • Ability to operate office equipment (telephone, scanners, copiers, etc.). 
  • Ability to complete work in an efficient and accurate manner. 
  • Ability to adapt to change.
  • Ability to organize work and projects, prioritize and meet deadlines.
  • Contribute to a team effort.
  • Ability to effectively multi-task.

EDUCATION AND/OR EXPERIENCE
College education preferred, but not required. A minimum of three years’ administrative experience with another CPA Firm or professional services firm is preferred but not required.
