Human Resources Operations Coordinator
Location: Albany, NY (Hybrid)Schedule: Full-Time
Reports To: Director of Human Resources
About the Role
Staffing Solutions Organization (SSO) is seeking a highly organized and customer-focused Human Resources Operations Coordinator to support the delivery of exceptional HR services across the organization.
As a key member of the Human Resources team, you will serve as the first point of contact for employees, managers, candidates, and external stakeholders, ensuring timely and accurate support throughout the employee lifecycle. This role provides operational support across multiple HR functions, including employee relations, onboarding, talent acquisition, leave administration, HR systems, and employee records management.
The ideal candidate is detail-oriented, service-driven, and eager to develop broad Human Resources experience in a collaborative and fast-paced environment.
Key Responsibilities:
Employee Support & HR Service Delivery
- Serve as the first point of contact for employee, manager, candidate, and stakeholder inquiries.
- Respond to Tier 1 HR questions received through shared HR inboxes, phone lines, voicemail, and case management systems.
- Provide accurate, professional, and timely responses while escalating more complex issues as appropriate.
- Maintain records of employee inquiries and actions taken through our case management system Zendesk.
- Support the achievement of HR service delivery standards and response goals.
Office Administration & Communications
- Manage the HR phone line and voicemail system.
- Receive, process, distribute, and electronically file incoming and outgoing correspondence.
- Coordinate document collection and follow-up activities.
- Maintain confidentiality of employee and organizational information at all times.
Employee Records & HR Administration
- Maintain employee personnel files and records in compliance with company policies and record retention requirements.
- Process employee lifecycle transactions, including:
- New hires
- Promotions
- Transfers
- Manager changes
- Personal information updates
- Employment separations
- Conduct routine audits to ensure HR data accuracy and compliance.
- Ensure employee records remain current, complete, and confidential.
Talent Acquisition & Onboarding Support
- Coordinate background checks and pre-employment screening activities.
- Process onboarding documentation and new hire paperwork.
- Monitor onboarding progress and ensure completion of required forms.
- Support interview scheduling and candidate communications as needed.
- Maintain accurate information within the Applicant Tracking System (ATS) and HRIS.
- Assist with recruiting metrics, compliance reporting, and workforce analytics.
Leave Administration Support
- Serve as a backup resource for leave administration activities.
- Assist with the tracking and administration of:
- Family and Medical Leave Act (FMLA)
- Paid Family Leave programs
- State leave programs
- Workers' Compensation leaves
- Personal leaves of absence
- ADA accommodations
- Monitor leave documentation requirements and return-to-work dates.
- Coordinate leave-related communications with employees, managers, payroll, benefits, and third-party administrators.
- Maintain leave records and tracking tools.
- Escalate complex leave and accommodation issues as needed.
HR Systems, Reporting & Process Improvement
- Maintain employee information within Dayforce and other HR systems.
- Generate routine HR reports and metrics.
- Assist with audits, compliance initiatives, and reporting requirements.
- Maintain HR forms, templates, standard operating procedures, and knowledge base resources.
- Identify opportunities to improve HR processes and operational efficiency.
- Support implementation of HR technology enhancements and process improvement initiatives.
Qualifications:
Required Education
- Associate's degree in Human Resources, Business Administration, or a related field.
Preferred Education
- Bachelor's degree in Human Resources, Business Administration, or a related field.
Required Experience
- Two (2) or more years of experience in:
- Human Resources
- Recruiting Coordination
- Customer Service
- Office Administration
- Business Operations or a related field
Preferred Experience
- Experience working with:
- Dayforce HRIS
- Applicant Tracking Systems (ATS)
- HR case management systems
- Document management platforms
- Experience handling confidential and sensitive employee information.

In addition, SSO provides a range of benefits for this role.
