Job Summary
The Office Administrator Assistant is responsible for supporting daily operational, clerical, and facility needs. This position plays a key role in scale operations, administrative tasks, customer service, and maintaining a clean and organized work environment. The ideal candidate is detail-oriented, dependable, and capable of multitasking in a fast-paced setting.
Key Responsibilities
Safety
- Follow all company safety policies and procedures at all times.
- Maintain a clean and organized office and entry area to prevent hazards.
- Safely operate scale systems and related equipment.
- Use proper lifting techniques when handling materials up to 50 pounds.
- Report unsafe conditions, incidents, or equipment issues promptly.
Quality
- Accurately utilize scale operations for incoming and outgoing commodities.
- Enter training and operational data with high attention to detail.
- Ensure all documentation and reports are complete, accurate, and timely.
- Provide professional and courteous communication when answering phones and assisting customers or drivers.
- Maintain organized records and files to support operational integrity.
Efficiency
- Manage multiple tasks effectively, including scale operations, phone communication, errands, and data entry.
- Prioritize workload to meet operational deadlines.
- Run town errands as needed to support site operations.
- Assist with meal preparation when required.
- Complete miscellaneous duties as assigned in a timely manner.
Teamwork & Collaboration
- Communicate clearly and respectfully with coworkers, supervisors, drivers, and vendors.
- Support team members during peak operational times such as harvest.
- Maintain a positive, cooperative attitude to promote a productive work environment.
- Participate in training and continuous improvement initiatives.
Attendance & Reliability
- Maintain consistent and punctual attendance.
- Be available to work scheduled hours and occasional additional time as needed.
- Demonstrate dependability in completing assigned responsibilities.
Minimum Qualifications
- High school diploma or GED required.
- Proficiency in Microsoft Office.
- Strong numerical aptitude and attention to detail.
- Excellent verbal and written communication skills.
- Strong time management and organizational skills.
- Ability to prioritize tasks and multitask effectively.
Physical Requirements
- Must be able to see and read fine detailed reports.
- Must be able to lift up to 50 pounds occasionally.
- Ability to sit, stand, and move throughout the workday as needed.
