The Opportunity

The Front Desk Receptionist owns the patient and client experience at the point of arrival-managing check-in, scheduling, communications, billing support, and the day-to-day administrative operations that keep the front office running smoothly across a busy, multi-service medical practice.

You will work closely with:

  • Clinical providers and medical staff to ensure seamless patient flow and appointment coordination
  • The concierge and wellness teams on member check-in and service coordination
  • Billing and administrative staff on insurance verification, payment processing, and patient inquiries

You bring warmth, professionalism, and the organizational precision to keep everything moving-because patients and clients notice every detail of how they are treated.

 

What You'll Own

Patient & Client Experience

  • Warmly greet and check in all patients, members, and visitors upon arrival, ensuring a positive and professional first impression every time.
  • Ensure the reception area and waiting rooms are clean, organized, and stocked-maintaining the presentation standard the practice demands.

Scheduling & Appointment Management

  • Schedule and confirm patient and member appointments, assist with rescheduling, and manage calendars across medical and wellness services.
  • Coordinate with clinical and concierge staff to ensure smooth patient flow and minimize wait times.

Communication & Patient Support

  • Answer phone calls and emails promptly, providing accurate and helpful information regarding services, appointments, and billing.
  • Handle patient forms, data entry, and front office administrative tasks with accuracy and confidentiality.

Billing & Administrative Operations

  • Process payments, verify insurance information, and assist patients with billing questions or concerns professionally and thoroughly.
  • Maintain accurate records and documentation in the EHR system, supporting compliance and operational efficiency.

First 90 Days

  • Fully trained on scheduling systems, EHR, billing workflows, and front desk protocols.
  • Consistently delivering a warm, professional patient experience from arrival through departure.
  • Strong working relationships established with clinical, concierge, and administrative teams.

First 6 Months

  • Recognized by patients, members, and colleagues as a reliable, welcoming front desk presence.
  • Managing scheduling, communications, and billing support independently and without prompting.

First Year

  • Viewed as a culture carrier and operational anchor for the front office.
  • Consistently embodying the Optimum Standard.

What You Bring

Required

  • Experience working in a medical office or healthcare setting.
  • Strong customer service skills with a friendly, professional, and proactive approach.
  • Excellent written and verbal communication and interpersonal skills.
  • Ability to multitask in a fast-paced environment while maintaining attention to detail.
  • Proficiency in scheduling software, Microsoft Office, and electronic health records (EHR) systems.

Preferred

  • Experience in a specialty medical practice, wellness center, or concierge medicine environment.
  • Familiarity with insurance verification and patient billing workflows.
