Client Intake & Engagement Serve as the first point of contact for clients, creating a welcoming and supportive experience both in person and by phone Guide clients through the intake process, gathering required information and ensuring all necessary documentation is completed Ask appropriate questions to understand client needs and connect them to the correct services and providers Conduct outreach, appointment reminders, and follow-ups to support engagement and retention in services 2. Insurance Eligibility & Verification (Primary Focus) Verify and document insurance eligibility at intake and on an ongoing basis Maintain up-to-date knowledge of insurance plans, funding sources, and coverage requirements Communicate eligibility status clearly to clients, providers, and referral sources Troubleshoot eligibility issues and collaborate with payers to resolve discrepancies 3. Claims & Billing Support Enter and maintain accurate client and insurance information in the electronic health record (EHR) Support clean claims submission by ensuring eligibility and required documentation are complete Assist with reviewing and resolving claim denials related to eligibility or data entry errors 4. Administrative & Provider Support Schedule, reschedule, and cancel appointments while coordinating with clinical staff Complete check-in/check-out processes, including collection of applicable fees Provide administrative support to providers (case managers, therapists, medical staff) as needed 5. Medical Records & Documentation Create, update, and maintain accurate client records in compliance with agency and regulatory standards Ensure all required intake and consent documentation is completed and filed appropriately Process releases of information accurately and timely 6. Customer Service Excellence Deliver professional, respectful, and person-centered service to all clients, staff, and community partners Maintain a positive, solution-focused approach in all interactions 7. Cultural Competency & Engagement Provide services in a non-judgmental, inclusive, and culturally responsive manner Support engagement of diverse populations through respectful and individualized interactions 8. Efficiency & Productivity Manage time effectively to meet productivity and documentation standards Demonstrate strong organizational skills and attention to detail, especially with eligibility and intake processes 9. Professional Development Participate in trainings related to insurance, intake processes, and client engagement Engage in cross-training to strengthen team support and overall workflow efficiency 10. Other Duties Complete additional administrative tasks and special projects as assigned QualificationsEducation and Experience: High school diploma/GED or at least 1 year office experience. Experience: Two year experience in mental health or medical setting preferred. Bilingual (Spanish) preferred. Proficient in Microsoft Word, Outlook, and Excel. Knowledge and Skills: Demonstrated success in the following areas: Excellent communication skills in all areas of office operations. Knowledge of office equipment and front desk procedure. Ability to conduct interviews and meetings and to manage time and prioritize projects. Good writing and verbal skills.
