Job DetailsJob Location: PMC-Divisional HQ - Alexandria, VA 22314Job Category: Admin SupportSchedule/Hours: Full-time This position is responsible for: The Salvation Army Potomac Divisional Headquarters is seeking an organized, service-minded administrative professional to support executive office operations, senior leadership, and mission-driven work across the Division. This position prepares and processes correspondence, reports, records, and other documents; coordinates follow-up on assigned matters; maintains tracking reports and organized files; supports meeting preparation, scheduling, purchasing, receptionist coverage, and mailroom functions; and handles confidential and sensitive information with professionalism, accuracy, and discretion. Key Responsibilities: Prepare correspondence, reports, agendas, records, and confidential documents with accuracy and discretion. Coordinate meetings, scheduling, travel arrangements, hospitality, copies, and follow-up tasks. Support Divisional Finance Board materials, Advisory Board and Council tracking, and candidate application processes. Provide administrative support to Legal, Emergency Disaster Services, and executive office operations. Serve as a professional point of contact for officers, employees, visitors, departments, and Territorial Headquarters partners. Physical Requirements and Working Conditions: Work is performed in a normal office environment where there are little or no physical discomforts associated with changes in weather or discomforts associated with noise, dust, dirt, and the like. Ability to concentrate and pay close attention to detail with constant breaks in concentration associated with answering phones or speaking in person to clients requiring assistance. Ability to effectively and efficiently work on multiple projects at the same time without becoming frustrated or disorganized. Limited amount of physical effort required associated with walking, standing, lifting and carrying light objects (less than 25 lbs.) 5-10% of work time. Bachelor’s degree in business administration or related field, AND Three years progressively responsible experience performing administrative work, preferably in a non-profit environment; demonstrated proficiency in Microsoft office products; OR Any equivalent combination of training and experience which provides the required knowledge, skills, and abilities.
