Description

Position Overview
The Office & Facilities Coordinator supports the day-to-day operations of our headquarters, ensuring a seamless, organized, and professional environment. As the primary point of contact for office logistics, meeting support, and facilities, the ideal candidate is highly organized, proactive, and hospitality-oriented.
Key Responsibilities

  • Workplace Experience & Meeting Support: Manage visitor logistics (directions, access, parking), coordinate conference room scheduling and setup, and prepare necessary meeting materials.
  • Facilities Operations: Identify maintenance needs, oversee vendors and contractors (including obtaining quotes), maintain shared spaces, and manage incoming/outgoing mail and deliveries.
  • Inventory Management: Track, maintain, and order stock for office, kitchen, cleaning, and printer supplies via vendors like Amazon and Instacart.
  • Operational Support: Coordinate facility activities to minimize business disruption and support teams utilizing the garage for testing or demonstrations.


Employment Type & Schedule: Part-Time (20 hours/week); In-office 4–5 days/week (hours vary based on operational needs)

Compensation: $24 – $26 per hour, based on experience

Requirements

  • US Citizen who can pass a background check.
  • Prior experience in office operations, facilities coordination, or administrative support.
  • Strong organizational, communication, and vendor-coordination skills with sharp attention to detail.
  • Proactive, solutions-oriented, and highly professional mindset.
  • Proficiency in Google Workspace (Calendars, Chat, Docs, Sheets).
  • Ability to lift and move up to 25 pounds for deliveries, supplies, and room setups.
