Who we are looking for:

ASCO has an exciting opportunity for a Program Coordinator, Center for Global Impact to support programs that strengthen oncology care worldwide. As part of our Center for Global Impact team, the Program Coordinator will play a key role in supporting international oncology initiatives that connect physicians, research and volunteers around the world.

The Program Coordinator will serve as a central point of coordination for awardees, applicants, and steering groups – ensuring seamless logistics, data tracking and an exceptional volunteer and applicant experience.

This role is ideal for someone who thrives on organization, values exceptional customer service and is passionate about global health and mission-driven work.

This position is hybrid with a primary location in Alexandria, VA.

Responsibilities 

  • Coordinate awardee and volunteer logistics for programs including travel schedules, accommodations, visa requirements, on-site logisticsand post-travel follow-ups   

  • Coordinate and track awardee and volunteer financial payments and reimbursements 

  • Assist with communications and tracking for applicants of programs 

  • Support application process by monitoring the inbox for applicant questions, sending application deadline reminders, and assisting with applicants’ technical issues in the application portal   

  • Support the Steering Group by drafting and distributing correspondence, scheduling conference calls, and preparing meeting materials 

  • Support programs by drafting correspondence, scheduling teleconferences, performing periodic data entry, tracking and reporting of volunteer participation, and updating slide content and other communications 

  • Provide periodic administrative support to the Associate Director and department as needed 

 

Required Education and Experience 

  • Bachelor's degree, preferably in healthcare, international affairs, or related field or equivalent years of experience 

  • 2 – 3 years of experience in effective administrative coordination, logistics, or customer-facing roles customer service experience in an organizational setting  

  • Proficiency with Microsoft Office programs (Word, Excel, PowerPoint, SharePoint, Teams, and Outlook); and an openness to embracing and learning new technology 

 

Preferred Education and Experience 

  • International experience (including knowledge of a second language, study or work abroad, etc.) 

  • Experience using SmartSheet 

  • Volunteer management experience  

 

Competencies 

  • Strong communication skills, including the ability to draft, edit, and proofread a variety of internal and external communications 

  • Enthusiasm, good judgment, and excellent customer service skills 

  • Self-managed with proven skills to use initiative, time management, and organizational skills to prioritize work to deliver results with attention to detail 

  • Show good judgement and presence including the ability to handle confidential information and collaborate with external volunteer members and internal stakeholders 

  • Comfortable working with and learning new technology and handling data 

  • Highly organized with a demonstrated track record of supporting multiple simultaneous projects  

  • Self-directed and able to deliver high quality, proofread work  

  • Able to think critically to deliver the best possible volunteer experience 

  • Strong focus on customer service 

 

Work Environment 

This position will be in Alexandria, HQ, and will require use of an office computer, phone, and general office equipment.
