Position Objective
The Switchboard Operator is responsible for managing the organization’s telephone switchboard system. The position receives incoming calls and reroute them to the various departments and employees as requested. The Operator has to respond to emergency alerts and routes information to the appropriate parties, as well as have knowledge of the hospital’s emergency codes and procedures. The position is also responsible for updating the daily On-Call Schedule, batching checks as well as other clerical duties.Â
Essential Responsibilities
CommunicationÂ
- Manage all incoming calls and place outside phone calls on restricted lines
- Contact Physicians when appropriate while utilizing the call schedulerÂ
- Record all Physician to Physician and code calls, logging the data, time, and caller’s name, if applicableÂ
- Greet and direct patient and guests who present to the Switchboard area
- Answer general questions from callers and the public according to hospital policy
- Page or announce clearly overhead when required
- Call clergy for inpatients who request a clergy visitÂ
- Ensure clergy list is printed, and distribute to clergy as they visit
- Serve as receptionist for the hospital when needed
- Find assistance for patients needing help from their vehicle to a wheelchair if neededÂ
ClericalÂ
- Update, and distribute (when necessary) the daily On-Call ScheduleÂ
- Open, sort, stamp, organize, total, and batch checks that arrive by mailÂ
- Prep payments for mailingÂ
- Highlight and alphabetize Explanation of Benefits for our business office
- Assist our Security Department byÂ
- Documenting and retrieve patient belongings from the safe as neededÂ
- Documenting and filing lost and found items, distributing to owner as neededÂ
- Collect payments and issue receipts after normal business hoursÂ
- Use EPIC (EMR) Census and Patient Phone Lists; sort and find correct patient room numberÂ
- Maintain appropriate department suppliesÂ
- Fold, sort, and mail statements, and various mailings
- Check in/out vendors and record the name, company, date, and timesÂ
- Forward card for discharged patients, looking up address in EPIC
- Update and maintain Provider contact protocols
Other Responsibilities
- Perform all other duties as requested
- Assist other departments
- Participate in departmental or organizational meetings and trainings
- Demonstrate the ability to use relevant equipment
Required Qualifications
- High school graduate or equivalentÂ
Preferred Qualifications
- Computer Experience
- Prior Switchboard ExperienceÂ
- Experience with 10-Key Adding MachineÂ
Knowledge, Skills and AbilitiesÂ
- Ability to answer the telephone in a professional manner
- Strong keyboarding skillsÂ
- Ability to navigate Microsoft Office Products with general computer knowledge
- Ability to learn new procedures and protocols while incorporating them into current workflowsÂ
- Ability to remain professional, calm, and maintain a caring composure when faced with difficult or stressful situations
- Willingly accept work assignments and changes in daily routine
