The Project Billing Coordinator supports project financials, billing, and administrative operations within a fast-paced telecom construction and site development environment. This role works extensively in Oracle ERP and customer project systems to maintain accurate forecasts, track project milestones, and ensure timely billing. The position partners closely with project managers, field teams, engineering, and customers to support the full project lifecycle from initiation through closeout.
Essential Duties and Responsibilities
Maintain and verify financial data in the ERP system, including but not limited to the input of sales forecasts, cost forecasts, billing, and requisitions.
Update Telamon and customer systems to capture and process project milestone tasks and data from creation to completion, ensuring accuracy all platforms.
Collaborate with internal teams, including project management, engineering, and installation to gather, process, input, and distribute accurate project updates through the appropriate system(s).
Ensure data integrity by performing timely and precise data entry, conducting regular self-audits, and resolving discrepancies promptly.
Manage customer badging and system/site access for deployment teams as needed; ensure compliance with customer security policies, complete monthly and quarterly audits, and provide timely access updates or removals.
Compile, analyze, and respond to project data including workload, project milestones, financials, tasks assignments, and key dates to support informed decision making.
Serve as the primary point of contact for maintaining accurate contact information in Telamon’s training and certification database.
Prepare and submit completion reports to Quality department within required deadlines.
Coordinate administrative logistics as needed, such as scheduling appointments, arranging travel, organizing meetings, and facilitating cross-departmental activities.
Provide peer support and training by assisting colleagues with processes and systems as expertise is developed.

Skills and Abilities Required
Experience maintaining financial and project data within Oracle ERP systems
Familiarity with project milestone billing or cost tracking
Experience supporting high-volume project teams or PMOs
Exposure to customer systems (e.g., carrier portals, Sitetracker, project management tools)
Excellent verbal and written communication skills.
Basic understanding of budgets and math.
Ability to manage time, prioritize critical tasks and quick turnaround requests at a high-volume level.
Ability to maintain confidentiality around sensitive matters.
Ability to understand and make judgments on tasks being performed.
Ability to cooperate, communicate and perform tasks both independently and in conjunction with a small team.
Basic to intermediate computer skills, experienced in MS Office and Adobe products.
Education and Experience Required
High School diploma.
Minimum of 3 years of administrative support experience.
