About the Role

West Alton Marina is looking for a detail-driven, process-oriented Service Coordinator to serve as the administrative anchor of our service department.

In this role, you will support departmental organization through accurate data entry, parts procurement, and billing. A technical background is not required but being organized and detailed is a must. Your focus will be making sure work orders are accurate, parts are ordered and tagged, keys are tracked, and billing is completed cleanly.

Core Responsibilities

  • Work Order & Data Administration: Open clear, detailed work order tickets from customer requests and seasonal launch/storage forms; track physical job folders moving through the shop’s visual bin system. 
  • Parts Sourcing & Receiving: Look up OEM parts numbers using manufacturer software (Mercury, Volvo Penta), place supplier orders, verify packing slips upon delivery, and tag parts directly to work orders. 
  • Billing & Warranty Entry: Review completed job notes from technicians, reconcile parts and labor against estimates, generate final customer invoices, and submit warranty claims into manufacturer portals. 
  • Daily Operational Organization: Maintain strict daily accountability for the central customer key box, update real-time boat movement on yard storage charts, and manage the general service inbox. 
What We Are Looking For

  • Meticulous Attention to Detail: You double-check part numbers, catch spelling errors, and keep files and physical folders organized.
  • Process Discipline: You thrive following established checklists and ensuring daily routines are completed reliably every day.
  • Strong Administrative & Computer Skills: Comfortable navigating inventory portals, web-based software, email, and digital forms.
  • Relevant Backgrounds Welcome: 1+ years of experience in data entry, dispatch, auto/powersports parts, medical/dental office coordination, veterinary administration, or logistics support.
  • Education & Requirements: High school diploma or equivalent required; Associate degree in Business Administration, Accounting, Office Technology, or a related field preferred. Professional phone demeanor and a valid driver’s license are required.
