JOB SUMMARY
The Community Associate plays a key role in fostering a welcoming and productive environment for community members at HANSA coworking center. From assisting with memeber needs and inquirires to managing day-to-day operations, this position is responsible for providing a full-service professional workspace experience and ensuring business is running smoothly. The Community Associate helps cultivate a positive and professional experience for community members by overseeing space arrangements, organizing events, and maintaining the overall appearance and functionality of the facility.Â
ESSENTIAL FUNCTIONS
- Serves as the primary point of contact for members and guests, ensuring a seamless and professional experience from arrival to departure.
- Oversees front desk operations during business hours, maintianing an organized, welcoming, and efficient workplace.
- Manages communication channels, including phone calls, emails and member portal inquires, providing timely and effective responses to all member and guests.
- Coordinates member check-ins and check-outs, ensuring a smooth onboarding and offboarding process while maintaining high service standards.
- Facilitates the reservation and management of meeting rooms and event spaces, ensuring seamless execution of member events.Â
- Delivers exceptional customer service, contributing to a positive, productive, and collaborative coworking environment.
- Ensures operational excellence of the facility by proactively addressing any issues and maintaining streamlined processes that support members and internal teams.Â
- Actively promotes HANSA’s offerings and Uniland’s business solutions, contributing to business growth and member retention.
- Oversees mail and package management, ensuring prompt and accurate delivery with a high level of professionalism.
- Facilitates site tours, move-ins, and move-outs, ensuring members have a positive and welcoming experience.
- Maintains accurate records of space inventory, member accounts, and other essential data, ensuring updated and efficient management systems.
- Leads the creation and distribution of promotional materials to attract and retain members while showcasing the facility’s benefits.
- Manages and optimizes the use of the membership portal, tracking member activity and engagement for improved communication and operational efficiency.
- Oversees event logistics, including setup, breakdown, and coordination of catering services, ensuring smooth execution and alignment with HANSA’s high standards.

- Upholds the highest facility standards, ensuring that members feel proud to bring clients, guests, and investors to the coworking space.
- Curates and distributes monthly newsletters to keep the community informed and engaged.Â
- Creates and nurtures a collaborative and engaging environment by organizing and promoting community-building initiatives, events, and activities that enhance member relationships.Â
- Contributes to the development and execution of targeted outreach campaigns, including email marketing, event presentations, and promotional material distribution.
- Assists in educating members on HANSA’s policies and procedures, ensuring clear communication of rules, membership agreements, and billing processes.
- Drives social media strategy by creating, posting, and engaging with content across all platforms, effectively showcasing the coworking community and its events.
- Actively participates in and contributes to any/all initiatives when requested and/or required.
EDUCATION & EXPERIENCE
- Associate's degree in business administration, office management or related field required.
- An equivalent combination of coursework and field experience may be considered.
- A minimum of 2 years of experience in a customer service, office administration or hospitality-related field required.
- Strong background in administrative duties and facilities management is a plus.
KNOWLEDGE, SKILLS & ABILITIES
- Knowledge of facility operations, ensuring a clean, safe, and functional coworking environment.Â
- Understanding of basic troubleshooting techniques for resolving technical issues related to meeting room technology, printers, and wireless networks.Â
- Familiarity with coworking management software or membership portal systems, such as Yardi Kube, for managing member accounts, reservations, and communications.Â
- Exceptional interpersonal and communication skills, enabling effective interaction with members, guests, and team members.
- Strong customer service skills, with the ability to address inquiries, resolve issues, and ensure a high-quality experience for members.
- Skilled in event coordination, including logistics, catering, and member participation, to ensure seamless execution.
- Strong organizational skills and attention to detail, with the ability to manage multiple tasks and responsibilities simultaneously.

- Proficient in promoting and marketing coworking services through social media platforms and other channels to increase member engagement.
- Strong written and verbal communication skills, with the ability to create promotional materials, newsletters, and updates for members and potential leads.Â
- Ability to problem-solve effectively, handle conflicts, and implement solutions that foster a positive and collaborative community atmosphere.
- Ability to work independently, prioritize tasks, and stay focused under pressure while adapting to changing environments.
- Ability to engage with the local business community, building relationships, and promote coworking offerings.
- Demonstrates flexibility in scheduling and supporting after-hours events as needed.
