Executive Administrative Assistant to CFO

 

Location: Amsterdam, NY

FLSA: Non-Exempt

Reports To: Chief Financial Officer

Physical Requirements: Normal Office Environment

Hours of Work: Full time 37.5 hours per week, 8:30 a.m. - 4:30 p.m.

Pay Range: $19.43-$26.40

Job Summary:

This position provides executive support to the CFO and the Business Office, managing the schedule, coordinating meetings and handling administrative tasks. The Executive Administrative Assistant to the CFO maintains contract files and manages the p-card program for Liberty and all related companies.

 

Job Qualifications:

 

  1. Associates degree with one-year experience or five years' experience in an administrative assistant capacity.
  2. Must be able to work independently and have excellent organizational skills and office skills. Proficient in the use of Microsoft Excel and Word.
  3. Good communication and interpersonal skills are required.
  4. Must be able to read, write and speak the English language.



Major Responsibilities:

  1. Assumes administrative responsibilities under the direction of the Chief Financial Officer.
  2. Duties assigned by the Chief Financial Officer and other Business Office staff include answering phones and taking messages, confirming attendance at meetings, distribution of mail and typing.
  3. Maintain cash control including maintaining checks/cash log, agency check signer and hand check preparation according to established standards.
  4. Produce monthly journal entries related to Food and Household Account Reconciliations.
  5. Maintain all agency permanent files as supporting documentation for the annual audit and facilitate obtaining quotes as directed.
  6. Maintain all program Purchase card (P-card) accounts.
  7. Maintain and reconcile all agency property/vehicle insurance documentation.
  8. Attend training as needed.
