Job Overview
We are looking for an Office Coordinator to serve as the operational backbone of a growing residential technology integration company. This is a full-time, hybrid role that blends the steady rhythm of daily administrative work, think procurement, light bookkeeping, and documentation, with the opportunity to help bring the company's brand to life on social media alongside the sales team.
Reporting directly to company leadership, this person will keep the day-to-day details of the business running smoothly: answering the phone and greeting clients, keeping supplies and inventory stocked, coordinating vehicle maintenance, and providing light administrative support to leadership so they can focus on higher-value work. The right person is organized, dependable, and comfortable being the polished first impression for the company's clients.
Responsibilities
- Serve as the first point of contact for incoming calls, emails, and client communication.
- Manage office supplies and inventory, ordering materials when the team submits requests or stock runs low.
- Coordinate vehicle maintenance and upkeep for the company fleet.
- Handle light bookkeeping tasks, including daily expense categorization and hours auditing.
- Support invoicing and reconciliation.
- Identify opportunities for process improvement and help implement operational best practices.
- Maintain clear, organized documentation across the organization.
- Facilitate communication with clients and the internal team regarding project updates.
- Provide light administrative support to leadership, including managing correspondence and day-to-day scheduling needs.
- Help plan and create social media content alongside the sales team, including on-site content creation.
Qualifications
Required Qualifications
- Highly organized, with strong attention to detail and the ability to manage several small, recurring responsibilities without letting anything slip.
- Polished, professional communicator with strong written and verbal skills, comfortable and confident representing the company to high-profile clients.
- Background in a project-based, adjacent industry, such as architecture, construction, moving and logistics, or landscaping, is a strong plus. Anyone who understands how projects move through phases will pick this role up quickly.
Preferred Qualifications
- Comfort in front of a camera and an interest in what works on social media. No formal marketing background is required, just a willingness to get involved and create content alongside the team.
Schedule
This is a full-time role with standard business hours, Monday through Friday, and reception coverage is a consistent part of the day.
