NexGen HVAC & Plumbing is seeking a highly organized and detail-oriented Permit Coordinator to support our growing operations team in Anaheim, CA. This in-office role is critical to ensuring permits, inspections, and project documentation are processed accurately and efficiently across HVAC and plumbing projects.
The ideal candidate thrives in a fast-paced environment, communicates effectively with both internal teams and external agencies, and is comfortable managing multiple priorities while maintaining accuracy and professionalism.
Responsibilities- Answer and manage the permit line, providing timely and accurate responses
- Respond promptly to internal communication platforms (Teams/chat) regarding CSR and permit-related inquiries
- Follow up with Project Managers to obtain site plans and required documentation
- Review and manage incoming emails from city departments and permitting systems such as iPermit
- Schedule HVAC and plumbing inspections and track required timelines
- Update customers regarding inspection schedules, permit statuses, delays, or changes
- Request permit updates and reschedule inspections when necessary
- Maintain and update spreadsheets to accurately track permits and inspection jobs
- Review daily job boards to ensure inspections are properly assigned and documented
- Monitor upcoming schedules 3–7 days in advance to confirm inspections and organization
- Coordinate and schedule subcontractors for engineering-related work when applicable
- Create and manage HVAC and plumbing inspection jobs
- Book warranty work and corrections accurately
- Ensure all emails, chats, and assigned tasks are completed promptly and efficiently
- High school diploma or equivalent
- Strong organizational and multitasking skills
- Excellent written and verbal communication abilities
- Proficiency with Microsoft Office, especially Excel and Outlook
- Ability to work in a fast-paced, deadline-driven environment
- Strong attention to detail and follow-up skills
- Ability to work independently and collaboratively with teams
Nice to Have
- Previous experience in permitting, construction coordination, or administrative support
- Familiarity with HVAC and plumbing permitting processes
- Experience using permitting software such as iPermit
- Experience coordinating inspections or subcontractors
