Description:

POSITION PURPOSE

  • Administrative Assistant III supporting Surgical Services is a senior-level administrative assistant, oversees or provides comprehensive administrative support within one or more major functions (e.g. large medical department, executive suite or similar-level area).

  • This full‑time, on‑site Day Shift position is based in Surgical Services at Trinity Health Ann Arbor and offers 40 hours per week with a minimum rate of $21.65 (midpoint $26.52, max $31.39; placement within the range is based on relevant experience and equity within the grade).

  • The selected candidate handles non‑routine correspondence, complex scheduling, and meeting coordination. They gather and analyze data for specialized reports and assist with preliminary budget planning. They anticipate department and leadership needs and take initiative to address them. They work independently with patients and external customers on sensitive issues, identifying concerns and recommending solutions. The role may also include training, directing, or delegating work to less‑senior assistants.

MINIUMUM QUALIFICATIONS

  • Associates degree or equivalent, minimum of 7 years of administrative support experience.

  • Additional formal clerical and PC training.

PREFERRED QUALIFICATIONS

  • Mastered proficiency in MS Office Suite and proficiency using databases and graphics software.

  • Strong attention to detail.

  • In-depth knowledge of medical terminology for transcription.

WHAT YOU WILL DO

  • Independently prepares non‑routine correspondence, documents, and reports from drafts or dictation. Creates complex forms, charts, presentations, manuscripts, and contracts, and ensures all materials are accurate and clear. Handles confidential and sensitive information daily.

  • Coordinates complex meetings, conferences, and programs, manages calendars and travel, and attends meetings as needed.

  • Develops and maintains filing systems and internal processes. Oversees confidential personnel, payroll, billing, and purchasing records, as well as all incoming and outgoing mail and reports.

  • Prepares non‑routine responses to correspondence, researches background information, distributes materials, and handles many inquiries independently while serving as a gatekeeper for supported manager(s).

  • Researches, compiles, and analyzes data from multiple sources. Prepares reports, statistics, and recommendations, and manages databases to ensure data accuracy for quality and reporting.

  • Interacts daily with staff, physicians, executives, board members, patients, and external customers. Responds to inquiries using detailed knowledge of operations and policy.

  • Screens calls and visitors, manages reception needs, and maintains an organized, welcoming environment. Oversees purchasing and coordinates equipment maintenance.

  • Orients new administrative staff and may train, direct, or delegate work to less‑senior assistants.

  • Identifies and resolves complex operational issues—staffing, budgeting, purchasing, billing, equipment, or space—and applies strong organizational knowledge to address conflicts constructively.
