The AP/AR/Cash Specialist reports directly to the Senior Manager, Corporate Accounting and supports the Corporate Accounting team through the processing of vendor invoices, customer billings, cash transactions, and payment activities. This entry-level role offers broad exposure to key accounting processes, including accounts payable, accounts receivable, cash management, and treasury, and serves as an excellent foundation for career growth within corporate accounting.

 

The successful candidate will possess strong attention to detail, intermediate Excel skills, and the ability to leverage accounting systems such as NetSuite and Nexonia to drive efficiency and accuracy. This position requires strong communication and organizational skills, with the confidence to ask questions and proactively seek guidance when needed.





ESSENTIAL DUTIES & RESPONSIBILITIES

Routine Accounting & Operational Support

  • Process AP and billing inboxes; enter and process bills in NetSuite with accurate coding for GL accounts, dates, projects, and approvers.
  • Create customer invoices in NetSuite upon request and conduct collection activities for outstanding balances greater than 30 days past due.
  • Record daily cash activity across multiple subsidiaries and prepare weekly summaries of banking and invoicing activity for management.
  • Prepare and process payments (checks, ACH, wire transactions) through NetSuite and Wells Fargo; maintain up-to-date records for ACH onboarding and wire confirmations.
  • Monitor Wells Fargo for positive pay and fraud alerts (including occasional coverage after hours or on weekends as needed).
  • Review and reconcile employee expense reports submitted through Nexonia.
  • Work in coordination with the tax department to process federal and state tax payments.
  • Collaborate with the Finance Associate to keep the cash flow report current; prepare payment tables and participate in internal cash flow meetings with leadership.
  • Process office deposits, manage incoming mail and accounting voicemails, and route communications to appropriate departments.

Month-End Close & Financial Reconciliation

  • Record and reconcile cash transactions and prepare monthly bank reconciliations.
  • Review AP and AR balances to ensure related-party transactions are properly classified.
  • Assist the accounting team with researching and resolving open items within suspense or holding accounts.
  • Support additional month-end close activities and ad-hoc financial projects as assigned.



REQUIREMENTS

Required Qualifications:

  • Entry-level candidate with a strong desire to build a career in corporate accounting.
  • Bachelor’s degree in Accounting, Finance, Economics, or a related field (Accounting degree preferred).
  • Intermediate proficiency in Microsoft Excel.
  • Excellent written and verbal communication skills, with strong organizational abilities and attention to detail.
  • Ability to work in the Annapolis, MD office four days per week, 1 day remote.

Preferred Qualifications:

  • Prior accounting, audit, or bookkeeping experience or internship background.
  • Experience with enterprise accounting and expense management software, specifically NetSuite and Nexonia.

The expected annual compensation range for this position is $58,000 - $65,000, encompassing base pay and potential incentive target opportunity; this range does not include additional commission. This range is a good faith estimate based on the position's requirements. Specific compensation offered to the selected candidate may vary depending on factors such as relevant knowledge, skills, training, experience, and market conditions. Additionally, this position may qualify for a comprehensive benefits package, including Retirement Benefits, Medical, Dental & Vision, Health Savings Account, Flexible Spending Account, Life Insurance and Disability, Tuition Reimbursement, Voluntary Benefits, Paid Absences, and more.
