POSITION SUMMARY

Responsible for completing the warranty and service package for all bus, coach and charger Bids. This role ensures accurate interpretation of customer specifications, analysis of historical warranty spend and service costs, development of warranty accrual, pricing recommendations, and deliverables. By working closely with internal departments and Vendors, the Bid Specialist helps ensure bid compliance, minimizes business risk, and supports the submission of competitive and profitable proposals.

WHAT YOU WILL DO:

  • Thoroughly review bid documents, submit approved equals, deviations and clarifications for all bus, coach, and charger bids for competitive and profitable proposals.
  • Prepare accurate warranty pricing proposal per bid and establish a self-insured price list for warranty by bus and coach model, key components, and other commercial requirements from customers.
  • Prepare, maintain, and coordinate all warranty and service-related bid documentation, including Warranty deliverables, field support plan, bid proposal, and other requirements to ensure compliance with customer specifications and bid deadlines
  • Actively participate in pre-pricing reviews, strategic planning discussions, and warranty negotiations with internal stakeholders and customers, as required.
  • Accurately maintain and update the Master Battery Tracker with current warranty information by SR.
  • Thoroughly complete and maintain the Warranty Terms & Conditions Summary Sheet for each bid, as required
  • Proactively fosters effective communication and collaboration between Service and Sales teams to improve the speed, quality, and consistency of bid responses
  • Collaborate closely with Supply Chain to negotiate favorable supplier warranty terms and conditions and obtain competitive quotations.
  • Maintain a comprehensive database of supplier warranties, New Flyer warranty information, contractual exceptions, and bid narratives
  • Maintain databases for all suppliers and New Flyer warranty information and special contractual exceptions, including narratives for bids.
  • Collaborate with Finance in monthly control and monitoring of warranty provision by contract/model.
  • Liaise with Warranty Recovery and Technical Services staff to ensure current issues are addressed on future bus tenders.
  • Provide cross-functional support to Warranty Claims and Warranty Parts Administrators, as required.

WHAT YOU NEED TO BE SUCCESSFUL:

  • Proficient with MS Office (Excel, Word, Outlook)
  • Lead and/or Supervision qualities & experience
  • Negotiating skills
  • 2-5 years’ experience in customer service
  • Bid and Contract Experience
  • Innovative problem-solver who can generate workable solutions and resolve complaints
  • Proficient with Oracle
  • Product knowledge an asset. 
  • Strong time management skills and ability to manage multiple priorities in a fast-paced environment
  • Motivated self-starter with high level of initiative
  • Excellent customer service skills
  • Excellent analytical skills 
  • Above average interpersonal skills and a professional attitude to highly analytical thinker with demonstrated talent for identifying, scrutinizing and improving processes

  • Experience or knowledge of motor vehicle components
