Position Title: Executive Assistant, Intelligence Operations & Solutions
Location: Annapolis Junction, MD (On-site, with some flexibility as business needs allow)

We are seeking an Executive Assistant to support the VP, Intelligence Operations & Solutions (IOS) Business Unit and IOS division leaders. In this highly visible role, you will play an important part in organizing, managing, and keeping the VP and leadership team operating at a high level. You will own a broad range of administrative and organizational responsibilities, including calendar and meeting management, travel and expense coordination, site/office support, and culture/engage ment activities for the IOS team in Annapolis Junction. The ideal candidate is a proactive, polished professional who thrives in a fast paced environment, maintains strict confidentiality, and brings energy, positivity, and strong judgment to every interaction.

Primary Responsibilities Executive & Administrative Support
 Manage complex calendars for the IOS VP and division leaders, including scheduling high priority meetings, resolving conflicts, and ensuring participants have required materials.
Coordinate meetings, travel, conference calls, and expense reports in a timely and accurate manner.
Perform a wide range of administrative duties for the IOS VP and business unit leadership.
Create and edit professional documents, generate reports, spreadsheets, and presentations.
Prepare agendas, read ahead materials, and follow up notes/action trackers for leadership meetings, internal reviews, and customer engagements.
Manage schedules, arrange appointments and itineraries, and ensure the VP is briefed and prepared.
Handle sensitive information with discretion and maintain strict confidentiality in all matters.
Willingness to work outside regular business hours as needed to support business needs, critical meetings, or travel schedules.

Business Unit & Office Operations
Support day to day operations for the IOS BU at the Annapolis Junction site, including facilities requests
Plan and coordinate on site and virtual meetings, town halls, customer visits, and other events, including logistics, catering, room/AV setup, and visitor coordination.
Ensure conference rooms and presentation materials are prepared prior to meetings.
Maintain distribution lists, organizational charts, contact lists, and other administrative records for the IOS leadership team.
Track and support completion of recurring business processes (e.g., staff meetings, status reports, metrics rollups, quarterly reviews).

Culture, Engagement & Internal Communications
Assist the IOS VP and leadership team in coordinating, planning, and executing a variety of local and company wide activities and events (e.g., all hands, recognition events, team building activities).
Support creation and distribution of internal communications (newsletters, announcements, event promotions) aligned with AV's brand and values.
Help maintain a consistent, professional presence for the IOS BU in internal channels (e.g., intranet, SharePoint, Teams and other collaboration tools).

Required Qualifications
Bachelor's degree in a related field.
2+ years of administrative experience, with preference for experience supporting a senior member of management or executive level leadership.
Excellent written, verbal, and presentation skills with a keen eye for detail and accuracy.
Strong organizational, analytical, and critical thinking skills.
Proven ability to manage multiple priorities and workflows, respond to changing priorities, and work well under pressure.
Experience working in a fast paced, dynamic environment.
Excellent interpersonal skills with high energy, positivity, and professionalism.
Demonstrated ability to collaborate and interact effectively with diverse individuals and cross functional teams.
Self starter with the ability to work under minimal guidance and direction.
Demonstrated discretion and confidentiality in handling sensitive information.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Teams, SharePoint) and the ability to quickly adapt to new technologies and tools.
Professional demeanor and the ability to defuse emotional or high stress situations in a calm, measured manner.

Preferred Qualifications
Experience supporting leaders or teams in defense, aerospace, intelligence, or federal contracting environments.
7+ years of administrative experience with preference for experience supporting a senior member of management or executive level leadership.
Experience with culture/branding or employee engagement initiatives at the site or business unit level.
Familiarity with AV or similar corporate environments, including working with HR, Security, and Facilities on site operations.
Working knowledge or proficiency with using AI tools such as Chat GPT and Claude.

The salary range for this role is:
$73,500 - $128,500AeroVironment considers several factors when extending an offer, including but not limited to, the location, the role and associated responsibilities, a candidate’s work experience, education/training, and key skills.
ITAR Requirement:
This position requires access to information that is subject to compliance with the International Traffic Arms Regulations (“ITAR”) and/or the Export Administration Regulations (“EAR”). In order to comply with the requirements of the ITAR and/or the EAR, applicants must qualify as a U.S. person under the ITAR and the EAR, or a person to be approved for an export license by the governing agency whose technology comes under its jurisdiction.
