Autos of Chicago – Arlington Heights, IL

Autos of Chicago is seeking an experienced Automotive Dealership Office Manager to oversee our dealership’s daily accounting and office operations.

We are looking for someone with strong automotive dealership accounting experience, excellent organizational skills, and hands-on Dealertrack DMS knowledge. This is a key management position that requires accuracy, accountability, and the ability to keep the office running efficiently.

Responsibilities

  •  Oversee daily dealership accounting and office operations 
  •  Manage and support office/accounting staff 
  •  Review and bill vehicle deals for accuracy and completeness 
  •  Monitor funding, contracts in transit, and outstanding deals
  •  Manage accounts payable and vendor payments 
  •  Monitor schedules, reconciliations, and general ledger activity 
  •  Handle and oversee titles, registrations, trade payoffs, and lien releases
  •  Review deal jackets and ensure all required documents are complete 
  •  Monitor floorplan payoffs and vehicle inventory accounting 
  •  Process and track warranty/product cancellations and refunds 
  •  Coordinate with Sales, F&I, Service, Parts, and management 
  •  Ensure month-end accounting is completed accurately and on time 
  •  Maintain proper dealership records and ensure compliance with company procedures 
  •  Identify accounting discrepancies and resolve issues promptly 
Qualifications

  • Previous automotive dealership office/accounting experience required
  • Dealertrack DMS experience strongly preferred
  •  Previous Office Manager, Assistant Office Manager, Controller, or similar dealership experience preferred 
  •  Strong understanding of dealership accounting and deal processing 
  •  Experience with titles, funding, payoffs, AP, and reconciliations 
  •  Excellent attention to detail and organizational skills 
  •  Strong leadership and follow-up skills 
  •  Ability to work independently and take ownership of the department 
  •  Comfortable working in a busy, high-volume dealership environment
