Position Overview

This position provides high-level front-office and administrative support for the U.S. Trade and Development Agency (USTDA). You will serve as a primary point of contact for internal and external communications, manage the reception area, and handle essential administrative logistics, including supply inventory and document preparation.

Responsibilities

  • Staff the Agency reception areas, greeting high-level guests and managing the professional appearance of the front office.
  • Handle incoming phone calls, emails, and physical mail, ensuring accurate routing and professional interaction with all stakeholders.
  • Perform various administrative tasks, including data entry, filing, and creating/distributing correspondence and reports.
  • Track the inventory of office supplies and proactively notify the administrative office when replenishment is required.
  • Maintain records of receipt and mailing dates while ensuring the appropriate shipping of packages and letters.
  • Manage calendars and schedule meetings and appointments to ensure smooth operational flow.
  • Efficiently manage multiple tasks and prioritize work in a time-sensitive environment.

Required Skills and Experience

  • 1–3 years of experience in a professional office environment as a support assistant, receptionist, or equivalent position.
  • Proficiency in office software (Microsoft Outlook, Teams, Word, PowerPoint, and Excel) and standard office equipment.
  • Effective written and verbal communication skills for interacting with various individuals.

Preferred Skills and Experience

  • Strong organizational and customer service skills.
  • Ability to respond flexibly and provide rapid assistance when needed.

Education

High School diploma required; higher education is preferred.

Clearance Requirements

U.S. Citizenship with the ability to obtain and maintain a Secret Security clearance.

Compensation

The salary range for this position is $30,000 - $60,000. This is not, however, a guarantee of compensation or salary. Rather, salary will be set based on experience, geographic location and possibly contractual requirements and could fall outside of this range.
