Job Summary:

The Administrative Assistant provides high-level administrative and organizational support to the COO, helping ensure efficient day-to-day operations and effective execution of key business priorities. This role requires a highly organized, proactive, and discreet professional who can manage competing priorities, coordinate schedules and meetings, prepare documents and reports, and serve as a trusted liaison between the COO, leadership team, employees, clients, and external partners/vendors.


Key Responsibilities:

  • Screening calls, emails, and correspondence, and prioritizing matters requiring attention.
  • Conducting research and gathering information as needed.
  • Assisting with contract administration, document management, and recordkeeping.
  • Manage calendars, meetings, and appointments.
  • Prepare meeting agendas, presentations, reports, and other executive materials.
  • Coordinate internal and external meetings and ensure timely follow-up on action items.
  • Draft and manage correspondence, communications, and confidential documents.
  • Track key projects, deadlines, deliverables, and operational priorities.
  • Serve as the POC for vendors and business partners.
  • Maintain organized records and ensure sensitive information is handled with discretion.
  • Support special projects, process improvements, and organizational initiatives as assigned.
  • Anticipate operational needs and proactively resolve administrative and logistical issues.


Qualifications:

  • A bachelor’s degree in a business-related field is preferred.
  • Problem-solving and critical thinking.
  • Proficiency with Microsoft Office 365 (Outlook, Word, Excel, PowerPoint), Teams, Zoom, and other productivity tools.
  • Experience managing corporate social media accounts and developing engaging content, and familiarity with tools such as Canva, Adobe Express, or similar design platforms would be a plus.
  • Strong organizational, time-management, and prioritization skills.
  • Excellent written and verbal communication abilities.
  • Strong attention to detail and ability to maintain accuracy under deadlines.
  • Ability to handle confidential information with sound judgment and discretion.
  • Comfortable working independently, managing multiple priorities, and adapting to changing needs.
  • Professional demeanor and strong interpersonal skills.
