We are seeking an Executive Administrative assistant to the CAO - Technology & Operations.

What you'll do in the role:
You’ll be expected to provide administrative support and perform the following duties for the team:   
Managing the day-to-day administrative affairs of CAO -Technology & Operations as well as others in the department, proactively anticipating their needs Â
Maintain calendar via MS Outlook which includes scheduling meetings/ conference calls, addressing meeting conflicts Â
Plan and organize internal events including event registrations, conference room reservations, multimedia support, and catering requests Â
Arrange all aspects of domestic and international travel which includes booking flights, providing travel itinerary, arranging hotels and car service, assisting with international travel requirements (ie, visas, entry letters, etc)Â
Prepare and submit expense reports on a timely basis for travel or business-related expenses, resolve discrepancies and missing receipts to keep balances currentÂ
Support your dedicated team by assisting with the onboarding/offboarding of contingent workers and employees, creating and maintaining mail groups, ordering office supplies, receiving guests/visitor and handling all incoming/outgoing mail and packagesÂ
Process invoices and create funding requests using internal platformsÂ
Assist on adhoc projects and provide backup coverage for other administrative assistants, as neededÂ
Responding to and handling confidential and sensitive information with poise, tact, diplomacy and a high degree of discretionÂ
Will be required to gain an in-depth of the Firm’s operations, policies and proceduresÂ

What you’ll bring to the role:
Minimum 2 years of experience in an executive assistant role supporting multiple senior professionals Â
Must be flexible covering different managers’ as group grows or changesÂ
College Degree PreferredÂ
Excellent communication skills, both written and oralÂ
Strong judgment and problem-solving skillsÂ
Strong attention to detail with a commitment to accuracy as well as solid organization/time management skillsÂ
Must be an enthusiastic and positive team player who is willing to help out and work well with others as well as independentlyÂ
Proven ability to work in a fast-paced, multi-tasking environment. Must be versatile and flexible to shift projects as priorities changeÂ
Able to work in a fast-paced environment and handle multiple tasks concurrentlyÂ
Proficient in the Microsoft Office suite especially PowerPoint, Excel and Outlook for email, calendar and contactsÂ
Knowledge of Office 365 and Microsoft Teams a plusÂ
Ability to be proactive and keep current with office procedures and technical training as well as all policy guidelines and compliance requirementsÂ
Experience and knowledge of CSTO, Concur, SharePoint, Fieldglass and Ariba a plusÂ
