About This Position

Schedule:  Monday - Friday
Hours:  7:15am - 3:45pm
 

The Administrative Assistant at the warehouse supports daily office operations by performing a variety of administrative tasks, ensuring work is completed accurately and efficiently. The ideal candidate is organized, detail-oriented, proactive, and proficient in Microsoft Excel and other office software.

Essential Functions, Duties, and Responsibilities

  • Review and process customer orders in Oracle as scheduled.
  • Provide general administrative support, including filing, data entry, and document preparation.
  • Maintain organized records and ensure information is up to date.
  • Prepare spreadsheets, reports, and basic data analysis using Microsoft Excel.
  • Assist with incoming calls, emails, and internal communications.
  • Support team members with various administrative tasks as needed.
  • Help maintain an orderly and efficient office environment.
  • Manage incoming vendor invoices for the region and ensure timely processing.
  • Prepare and send vendor invoices to Accounts Payable on a daily basis.
  • Maintain accurate and organized vendor invoice records.
  • Prepare monthly accruals for the region and ensure supporting documentation is complete.
  • Experience working in a warehouse as an Administrative Assistant is a plus
  • Assisting with building kits in the warehouse
  • Data entry/processing orders
  • Other duties as assigned.

What You'll Need

  • High school diploma or general education degree (GED); or one to three months related experience and/or training; or equivalent combination of education and experience.
  • Ability to read and comprehend simple instructions, short correspondence, and memos. Ability to write simple correspondence.
  • Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization.
  • Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.
  • Ability to apply common sense understanding to carry out detailed but uninvolved written or oral instructions. Ability to deal with problems involving a few concrete variables in standardized situations.
  • Valid Photo ID
  • Must be a self-starter who can work well with people at all levels both in and out of KCN Organization and correctional facilities in a professional manner.
  • Ability to prioritize projects from several sources and departments.
  • Ability to work well with ever changing priorities and or situations.
  • Strong organizational skills.
  • Ability to work independently or within a team.
  • Customer service oriented.
  • Excellent telephone and communication skills.
  • 10-key calculator experience.
  • General office machine experience.
  • PC experience required – word processing and spreadsheet generation (including Microsoft Office programs).
  • Familiarity with computers (including Microsoft Office programs) preferred
