Job Description:

Under supervision, the Administrative Assistant III provides high-level administrative and clerical support to the Deputy Commissioner for Insurance Regulations. The Administrative Assistant ensures efficient office operations, manages communications, and assists with scheduling, recordkeeping, and compliance documentation. The role supports executive decision-making, ensuring that priorities align with operational and strategic enterprise goals.

Manage calendars, schedule meetings, and coordinate travel arrangements for the Deputy Commissioner for Insurance Regulations.

Prepare correspondence, reports, and presentations as needed.

Assists with greeting the public with inquiries.

Maintain accurate filing systems (electronic and physical) for official documents while organizing materials for review.

Serve as the primary point of contact for internal and external inquiries.

Manage information flow by identifying urgent issues, drafting responses, and consolidating duplicate requests.

Screen and route phone calls, emails, and mail appropriately.

Coordinate complex interactions with insurers, industry associations, lobbyists, division directors, and regulatory partners, ensuring timely follow-ups and consistent communication.

Maintain a comprehensive action‑item tracking system (legislative requests, staffing follow‑ups, vendor responses, budget approvals, leadership commitments).

Notify the Deputy Commissioner of deadlines, pending decisions, and outstanding items.

Order office supplies and manage inventory.

Ensure adherence to state policies and procedures in administrative processes.

Perform other duties as assigned.

Minimum Qualifications:

High school diploma/GED and four (4) years of job-related experience; or two (2) years of experience required at the lower level Admin Assistant 2 (GST051) or position equivalent.
