 SUMMARY

Reporting to the SVP of Construction, the Project Contract Associate will ensure that both Portman’s and our stakeholders' needs are met through the appropriate tracking and management of project expenditures. The role will also perform a variety of professional level financial duties involved in preparing, maintaining, analyzing, verifying, and reconciling financial transactions, statements, records, and reports.


ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

  • Point of contact with contractors/vendors to facilitate timely receipt of invoices.
  • Receive and process invoices in accordance with established procedures and guidelines.
  • Review and verify invoices for soundness, appropriate documentation, and compliance to contracts, including lien wavers and insurance certificates.
  • Monitor invoice/payment details for delayed or non-payments.
  • Produce project reports in accordance with loan compliance and internal and client requirements.
  • Complete regular and ad-hoc reporting including informal and formal internal documents and reports.
  • Manage process of report distribution, list updates and follow-up.
  • Lead the effort to ensure that all contracts, change orders, lead acquisition/closing document, and cost reports are entered in Yardi.
  • Assist with documenting and managing owner-held third-party contracts.
  • Assist with the documentation of project closings transitioning from construction to operations.
  • Document and implement formal policies and procedures relating to project financial management. Responsible for ensuring adherence to those policies and procedures once developed.

REQUIRED KNOWLEDGE, SKILLS & ABILITIES

  • Candidate will perform complex financial analysis and be a proactive and focused team member with the ability to work independently with minimal direction and oversight.
  • Strong analytical skills with the ability to perform complex financial analysis, including and estimates to complete.
  • Exceptional interpersonal, written, and verbal communication skills with the ability to foster good working relationships at every level within the Company, as well as external stakeholders.
  • Excellent planning, presentation and organizational skills that reflect the ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail.
  • Proficiency in Yardi and Microsoft Office (Outlook, Word, Excel, and PowerPoint).

Preferred experience/skills

Paralegal experience is ideal

Real Estate closing experience is preferred


 EDUCATION REQUIREMENTS

  • The ideal candidate will have a bachelor’s degree in finance, Real Estate or Building Construction, as well as 4+ years’ experience in Commercial Real Estate Development, Banking and/or large-scale construction projects.
