Our client, Hawthorne House, is hiring for the Furnishings Project Coordinator. This position supports the furnishings and lighting projects from proposal through procurement, delivery, and installation.

This is not a design position. It is a highly organized, client-facing coordination role with a strong emphasis on communication, administration, scheduling, documentation, procurement follow-through, and keeping multiple projects moving accurately and on time.

Experience in the interior design, furnishings, decorative lighting, procurement, or related trade industry is strongly preferred.

This is a hybrid position, with candidates in the Athens or Atlanta area preferred. The role will combine remote work with in-person collaboration, client meetings and occasional travel to the Hawthorne House showroom and project sites.

Responsibilities
  • Serve as a primary point of communication for clients throughout the quoting, ordering, procurement, delivery, and installation process.
  • Provide timely, clear project updates and proactively follow up on outstanding questions, approvals, schedules, and next steps.
  • Communicate and coordinate with trade partners, vendors, receivers, installers, and internal team members.
  • Prepare furnishings and lighting quotes, proposals, specifications, and purchase orders.
  • Track projects from approval through ordering, production, receiving, delivery, and installation.
  • Confirm pricing, availability, lead times, freight, COM requirements, and vendor acknowledgments.
  • Maintain accurate project schedules, order status, budgets, and documentation.
  • Track and reconcile purchase orders, vendor invoices, client payments, credits, and project costs.
  • Schedule meetings, deliveries, installations, and other project-related appointments.
  • Identify potential problems early, communicate concerns promptly, and help develop solutions before issues become emergencies.
  • Assist in resolving damages, backorders, shipping issues, and other project challenges.
  • Support Hawthorne House leadership and the Outside Sales Specialist with project coordination and follow-through.
  • Three or more years of relevant experience in interior design, furnishings, procurement, project coordination, decorative lighting, or a related field preferred.
  • Excellent written and verbal communication skills and confidence interacting directly with clients.
  • Working knowledge of furniture and lighting specifications, purchase orders, trade pricing, lead times, COM, freight, receiving, delivery, and installation.
  • Strong administrative, scheduling, and project-coordination skills.
  • Experience maintaining and reconciling project budgets and purchasing records.
  • Exceptional organization, accuracy, and follow-through.
  • Ability to manage multiple projects and competing deadlines.
  • Proactive, resourceful, deadline-oriented, and calm under pressure.
  • Strong problem-solving skills with a completion-focused mindset.
  • Proficiency with spreadsheets, Microsoft Office or Google Workspace, Adobe Acrobat, and project-management systems.
  • Experience with Monday.com or interior design purchasing software is preferred.
