Payroll Coordinator


Pace Academy is an independent college preparatory school in Atlanta, Ga., with an enrollment of 1,150 students in Pre-First through 12th grade. The Payroll Coordinator is a critical role that manages the payroll process for 250+ employees.  The ideal candidate is proactive and has good communication skills with a strong attention to detail.


ESSENTIAL DUTIES AND RESPONSIBILITIES:


Payroll 

  • Prepare, reconcile and process mid-month payroll for hourly employees.

  • Prepare, reconcile and process end-of-month payroll for salary and hourly employees.

  • Compile and review additional payroll requests for appropriate documentation, backup and approval before processing with the end-of-month payroll, including but not limited to coaching stipends, substitute pay, trip stipends, gameday duties, recurring duties and other pays for additional faculty/staff duties each month.

  • Prepare and upload retirement plan contributions for each payroll.

  • Update payroll records for pay rates (changes for hourly and salaried employees) and voluntary deductions (employee benefits, retirement, etc).

  • Reconcile employee benefit elections to insurance provider monthly premiums and employees’ payroll deductions.

  • Respond to employee inquiries and update documentation in a timely manner.

  • Prepare journal entries to record payroll, benefit and retirement allocations.

  • Reconcile activity in payroll cash account and prepare additional journal entries.


General/Administrative

  • Manage emails to respond within a reasonable timeframe, follow up to all messages received and complete open items.

  • Assist with tracking and filing human resources documents as needed.

  • Assist students, parents/caregivers, faculty and staff who have questions for the Business Office.

  • Assist with other projects, areas of the month-end accounting close, tracking, reporting and office/administrative duties as needed and assigned.


MINIMUM QUALIFICATIONS:

  • Bachelor's degree preferred

  • Minimum 3 years of payroll experience strongly preferred

  • Experience with ADP Workforce Now software strongly preferred

  • Ability to efficiently organize, multitask and prioritize duties with attention to detail

  • Proficient in Excel with ability to reconcile multiple sets of data

  • Ability to professionally interact with parents, students, employees and vendors

  • Excellent verbal and written communication

  • Must be able to work year round on campus, in-person



WORKING CONDITIONS:

  • Ability to sit at a computer terminal for an extended period

  • While performing the duties of this job, the employee may be regularly required to stand, sit, talk, hear, reach, stoop, kneel, and use hands and fingers to operate a computer, telephone and keyboard
