JOB SUMMARY

The Payroll Specialist supports the end-to-end processing of weekly, in-house payroll for approximately 2,000+ employees. This role will serve as the primary backup to the Senior Payroll Specialist, providing critical support in all payroll operations. A strong focus will be placed on union payroll reporting and compliance, requiring in-depth knowledge of collective bargaining agreements, union deductions, and benefit remittances.

Customer service, both internal and external, strong analytical skills, exceptional attention to detail, the ability to thrive in a fast-paced, deadline-driven environment, and adherence to company policies and controls are the primary responsibilities of this position.

JOB RESPONSIBILITIES

Daily

路 Process Manual Checks and Separations as needed

路 Respond to inquiries via phone and email, exuding superior customer service to internal and external customers

路 Enter changes, such as direct deposit, tax, rate, etc.

路 Review and approve Travel and Expense reports

路 Serve as primary backup for the Senior Payroll Specialist, supporting all payroll functions and taking full ownership in their absence

Weekly

路 Process weekly payroll for approximately 2,000+ employees as needed

路 Print and mail pay vouchers to employees

路 Process garnishments & issue payment to vendors

路 Manage employees working in multiple states

路 Process weekly Union 401K ACH Draft

路 Maintain and update payroll system records, including wage adjustments, new hires, terminations, and status changes

Monthly

路 Manage and prepare accurate and timely monthly union payroll reports in compliance with multiple collective bargaining agreements

路 Reconcile union dues, benefit contributions, and other deductions; ensure timely remittance and resolve discrepancies with union representatives as needed

Annual and Other Responsibilities

路 Ensure payroll is processed in accordance with federal, state, and local laws, as well as company policies and union contracts

路 Assist with improving payroll processes and procedures

路 Serve on special committees from time to time as a contributing team member

路 Any other duties, both within payroll and outside of payroll, as deemed necessary by management

路 Assist in providing back-up for audits or other inquiries

BASIC QUALIFICATIONS

Education and Experience

路 At least 3+ years of payroll experience processing

full cycle, and in-house payrolls with at least 500

employees

路 Must have basic PC experience in Windows

environments, working knowledge of Word

processing, spreadsheets, e-mail, Web-enabled

applications, and database software

路 Minimum High School Diploma required

Knowledge, Skills, and Abilities

路 Able to work with a diverse group of people

路 Must be proficient in Microsoft Office and 10-key data entry

路 Exceptional accuracy and attention to detail skills

路 Strong customer orientation

路 Capable of problem analysis and resolution

路 Excellent interpersonal and communication skills

路 Ability to use time productively, maximize efficiency, and meet work goals with little supervision

路 Must possess and maintain an exceptional work ethic as well as uphold company values and demand the highest standard of conduct from self and others

路 Must be a self-starter, with the ability to work well as part of a team and independently

PREFERRED REQUIREMENTS

路 At least 1 year of union payroll experience

路 Payroll experience in the construction industry with union employees and multiple CBAs

路 Having a Fundamental Payroll Certification (FPC) is a plus

路 1 year of Microsoft Dynamics experience
